Job description

Job Purpose

The Exam Operations Manager is responsible for the planning, management, and delivery of the University’s examinations. This includes leading the Examinations team, managing invigilation services and coordination with professional services and external venues to deliver exams.

 

You will ensure examinations are delivered efficiently, and in line with quality standards and institutional policies. Working closely with the Timetable Manager, you will align operational delivery with published timetables, lead the development and documentation of standard operating procedures, and foster knowledge sharing to build expertise across the team and the wider stakeholder community.

 

Main Duties and Responsibilities

1. Leadership and development of the Examinations team, fostering a positive and high-performing work culture and ensuring efficient and responsive service.

2. Lead the operational planning and delivery of examinations, ensuring all exams are delivered efficiently, and in line with quality standards and institutional policies.

3. Act as the senior manager for examinations on-the-day, ensuring smooth delivery and the effective management of any operational challenges.

4. Work collaboratively with schools, professional services, and external partners to ensure exam venues, resources, and student adjustments are in place. Promote teamwork to ensure smooth service delivery and address operational challenges.

5. Manage the recruitment, training, and deployment of invigilators, ensuring compliance with regulations, and consistent standards across exam venues.

6. Work in close collaboration with the Timetable Manager to integrate operational delivery with timetabling outputs, ensuring an effective and student-focused service.

7. Provide guidance to stakeholders on examination processes. Develop and maintain comprehensive standard operating procedures for all processes to ensure consistency and resilience and actively share expertise to build capability across the team and wider stakeholder community.

8. Evaluate the effectiveness of examination services by collecting feedback from stakeholders and analysing operational performance, using insights to inform service improvements.

9. Develop and implement improved processes and systems for examinations management.

10. Support wider work during examination periods, helping with timetable validation, clash resolution, or communication tasks to maintain service continuity.   Undertake other duties commensurate with the grade as necessary, including relevant training and development activities.

 

Knowledge, Qualifications, Skills and Experience

 

Knowledge/Qualifications  

 

Essential:

A1 Scottish Credit and Qualification Framework level 9 (Scottish Vocational Qualification level 4, Ordinary Degree) or equivalent (including professional accreditation with relevant formal training), and experience of personal development in a similar or related role OR Ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills in a similar or number of different roles.

A2 Thorough knowledge of the principals of good record keeping and information management.

A3 Thorough knowledge of the principles of good customer service.

A4 Knowledge of examination processes, policies, and regulations.

 

Desirable: 

B1 Knowledge of systems such as CMIS and MyCampus.

C1 Proven leadership and people management skills. Ability to work collaboratively within a team, share expertise, and support the development of colleagues through active knowledge sharing.

C2 Excellent organizational and time management skills to enable effective service delivery and manage competing priorities.

C3 Strong interpersonal skills with ability to influence stakeholders and build strong professional relationships to work effectively with internal services and academic schools.

C3 Strong communication skills - clear and effective communicator.

C4 Strong IT skills - confident in using specialist software and spreadsheets to manage large volumes of data effectively and deliver services through a helpdesk.

C5 Strong analytical and problem-solving skills.

C7 Strong customer service skills.

D1 Project management skills.

 

Experience  

 

Essential:

E1 Leadership and people management experience.

E2 Experience of partnership working across a large and complex organisation.

E3 Experience of planning and delivering services or events.

E4 Experience of working under pressure, remaining calm and adaptable when responding to changing priorities and demands.

 

Desirable:

F1 Experience of working in records management or using an IT system to manage large scale processes.

F2 Delivery of services through a helpdesk.

F3 Development and/or delivery of training.

 

Terms and Conditions

Salary will be Grade 7, £41,064 - £46,049 per annum.

 

This post is full time and fixed term until 29 December 2028.
