Job description

Job Purpose

The College of Medical. Veterinary and Life Sciences (MVLS) Trusted Research Environment (TRE) is a secure, AI-enabled platform supporting cutting-edge healthcare and life sciences research in partnership with NHS Greater Glasgow and Clyde. Working closely with academic and professional service leads, the postholder will provide high-quality administrative support to ensure the smooth day-to-day operation of the TRE. This includes coordinating communication and engagement activities, maintaining records, and supporting research, governance, and training functions within the TRE.

 

Main Duties and Responsibilities

1. Provide proactive and high-level administrative support to the TRE management team ensuring efficient co-ordination across all aspects of research, governance and operational activities.

2. Coordinate the daily administration of the TRE, including organising meetings, seminars, and workshops.  Tasks include room bookings, preparing agendas and papers, and taking accurate minutes where required.

3. Support the launch, communication, and promotion of the TRE across internal and external channels, including updating website content, contributing to social media, and supporting public engagement events.

4. Liaise effectively with a wide range of stakeholders, including NHS staff, academic researchers, and University Services, to ensure a responsive and streamlined research support service.

5. Maintain accurate and confidential records in compliance with data protection legislation and all regulatory frameworks governing the TRE.

6. Assist with the upkeep of governance documentation and monitoring onboarding and training compliance, and ethics documentation, and other procedural requirements to ensure the TRE’s alignment with ISO and NHS standards.

7. Contribute to the ongoing development and review of administrative processes to improve operational efficiency and the quality-of-service delivery.

8. Provide administrative support for funding applications, including coordinating documentation, gathering necessary information, ensuring compliance with funder guidelines, and assisting with submission processes to internal and external funding bodies.

9. Provide administrative assistance to the TRE Directors, Manager, and senior staff, including diary management and coordinating external communications.

10. Engage in reasonable professional development activities in support of personal and organisational growth as appropriate.

11.    Undertake any other reasonable duties as required to support the delivery and development of the TRE.

 

Knowledge/Qualifications

Essential

A1. Scottish Credit and Qualification Framework Level 7 [Advanced Higher/Scottish  Vocational Qualification Level 3, Higher National Certificate] or equivalent, and personal development in a similar administrative role.

A2. Detailed knowledge and understanding of maintaining databases and handling sensitive information.

A3. Familiarity and awareness of financial processes and systems.

A4. Understanding of funding application processes and funder guidelines.

 

Desirable:

B1. Knowledge of Higher Education research administration.

B2. Working knowledge of NHS administrative and research governance processes.

 

Skills 

Essential:

C1 Strong organisational and time management skills.

C2 Demonstrable ability to work proactively and independently within a similar working environment.

C3 Excellent verbal and written communication skills with a high degree of professionalism.

C4 Excellent attention to detail and accuracy when using data and information from multiple sources.

C5 Ability to plan and prioritise workload effectively, responding flexibly to changing demands.

C6 Excellent IT skills using systems (e.g. MS Office, online collaboration tools, content management systems).

C7. Ability to understand and apply policies, regulations, guidelines, and standard operating procedures relevant to the role.

C8. Initiative and judgement to resolve problems independently.

 

Experience 

Essential: 

E1. Ability to demonstrate the competencies required to undertake the duties associated with this post, having acquired the necessary knowledge and skills in a similar role.

E2. Demonstrable experience of working with a variety of stakeholders and building effective relationships.

E3. Proven track record in providing high-quality administrative support in a research or data-driven environment.

E4. Experience working with multiple stakeholders across institutions or departments on complex projects.

E5. Experience of diary management

E6. Experience of applying judgement, policies and procedures.

 

Terms and Conditions

Salary will be Grade 5, £26,338 - £30,805 per annum.
