Job description

Job Purpose

To support the use and analysis of CMIS data, the University’s timetabling and room booking system, to drive improvements in data quality and insight, informing planning, estate development, utilisation efficiency and timetable optimisation.

To build relationships with colleagues across the University on the use of data and evidence-based decision-making.

 

Main Duties and Responsibilities

1. Space Management

To contribute to the annual production of the teaching timetable, developing validation and data quality tools to deliver a comprehensive timetable which meets the needs of the business

To create meaningful reports to enable analysis and inform planning.

To work with Colleges, Schools, Research Institutes, Services, student groups and external partners to ensure appropriate space allocation and effective utilisation

To use data and analytics to ensure effective use of space across the University

To contribute to the assessment of impact on the Estate of changes in student numbers, provision and pedagogy.

 

2. Product development: 

To contribute to the evaluation and testing of system updates and new functionality.

To develop reporting tools and routines, dashboards and data visualisation.

To maintain documentation in line with agreed quality standards, guidelines and procedures.

 

3. Reporting and Analytics:

Work with the Planning, Insight and Analytics department, using relevant business tools, to develop a suite of reports and analytics on all aspects of timetabling and space utilisation

To develop and run data models to inform space planning and design of new buildings and existing spaces, supporting the development of business cases for capital investment

Use derived analytics to inform recommendations to senior managers and other stakeholders on matters relating to timetabling, space utilisation and future requirements.

To present the data in meaningful and accessible ways.

 

4. Business Process Improvement: 

To assess new data and reporting requirements identified by users and stakeholders and develop appropriate responses and solutions.

To support and encourage the adoption of new business processes, including communication, training and user engagement.

To deploy appropriate skills and techniques to build relationships and help manage resistance to change.

To use knowledge of CMIS and the data therein to assist, support and engage with colleagues across the University.

 

5. Customer Service:  

Deliver excellent customer service through effective communications and by providing a timely response to enquiries.

To work with Development Managers, Project Managers and Project Boards on capital projects to provide data analysis and modelling to inform the development and delivery of projects.

Use detailed understanding of CMIS and the end-to-end process relating to timetabling, space management and student enrolment inform stakeholders and decision-makers on matters related to timetabling and space utilisation.

To assist staff in identifying issues with data and providing advice to enable them to resolve these issues.

To respond to support calls relating to CMIS using knowledge of the system to resolve queries.

Develop reports to provide information for other services including Janitorial, Operations, AVIT and other support services to enable them to manage space efficiently and support space users.

6. Training and Development:  

To develop own knowledge as a specialist in data analysis and reporting.

To maintain comprehensive, up to date knowledge of CMIS functionality, University reporting tools (including Qlikview) and related business processes and systems.

To apply specialist knowledge when engaging with users of the system through either support or development/change activities.

To undertake other relevant training, professional and personal development.

 

Knowledge, Qualifications, Skills and Experience 

Knowledge/Qualifications  

Essential:

A1 Ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills in a similar role. Or: Scottish Credit and Qualification Framework level 7 (Advanced Higher / Scottish Vocational Qualification level 3, Higher National Certificate) or equivalent, and experience of personal development in a similar role.

 

Desirable:

B1 Detailed knowledge of CMIS, the University’s timetabling system.

B2 Knowledge of University reporting tools and systems.

B3 Knowledge of data visualisation tools and techniques.

B4 Understanding of University administrative policies and procedures.

 

Skills

Essential:

C1 Excellent Excel skills.

C2 Strong verbal and written communication skills, being able to present data in various ways and to articulate the meaning and implications.

C3 Well-developed analytical and problem-solving capability, including scenario planning and impact analysis.

C4 Ability to work well both autonomously and as part of a team.

C5 Ability to work well under pressure and prioritise own workload.

C6 Demonstrate a positive and enthusiastic customer service approach.

C7 Ability to work flexibility to take on new challenges, developing new skills and knowledge.

 

Experience

Essential: 

E1 Demonstrable commitment to personal development.

E2 Relevant experience of working with timetabling and space data.

E3 Experience of data analysis and reporting.

E4 Relevant experience of using a range of software packages and systems (including MS Office, Office 365, CMIS, web content management) effectively.

E5 Experience of building and maintaining effective relationships.

 

Desirable:

F1 Experience in dealing with a wide range of customers and staff at all levels in an organisation.

F2 Experience of working within a higher education setting.

 

Terms and Conditions

Salary will be Grade 5, £27,319 - £31,236 per annum.

 

This post is full time (35 hours p/w), Monday to Friday and fixed term to December 2028.
