Job description

Job Purpose
To coordinate and implement the operational delivery of a broad programme of activities and funding initiatives that operationalise the University’s Innovation Strategy: this includes coordinating the delivery of innovation and enterprise events, overseeing the awarding of enabling funds via competitive applications, providing specialist advice and expert professional support to fund and programme applicants, acting as the main point of contact for both internal and external stakeholders, and devising and undertaking evaluative processes to ensure that the full programme of activities is supporting the development of the University’s innovation ecosystem and culture.
The role holder will be line managed and work closely with the Senior Operations Manager, who holds overall accountability for the operational delivery of the Directorate’s activities but will work very closely day to day with the Innovation and Enterprise Programmes team, who lead on the design and structure of the overall programme of activity.
Main Duties and Responsibilities
1. Project management: to coordinate the planning, development, promotion, delivery and evaluation of a range of events, activities and networks connected to the University’s strategic ambition to nurture and grow its entrepreneurial and innovation community.
2. Event management: to lead on the planning and operational execution of a range of talks, workshops, and networking events as part of an annual programme of innovation community engagement activities, including the RISE and WREN entrepreneurial networks, the IP seminar series, Innovation 101 and funding call launches and close-outs.
3. Fund management: supported by the Senior Innovation and Enterprise Programme Managers, manage the operation of competitive funding calls, including developing publicity, providing expert guidance to applicants, coordinate and operationalise the scoring process including panel engagement, liaising with Finance, Legal and Procurement colleagues, ensuring adherence to programme milestones and deadlines, operationalising programme close-out, and contributing to end-to-end and interim reporting.
4. Internal engagement: To work with the IP & Commercialisation team and other colleagues to signpost enquiries and new leads to the appropriate Services and channels, including the effective cascade of information to ensure that academics are primed to capitalise on suitable upcoming funding and learning opportunities.
5. Evaluation: To implement and advise on best practices in evaluation and impact reporting to inform reporting to external funders and University senior management; this includes employing qualitative and quantitative analysis, capturing demographic information on engagement, project outcomes and follow-on activities.
6. Stakeholder management: to manage and maintain appropriate relationships with key stakeholders, including senior members of staff, IEED colleagues and College Innovation Teams, providing specialist expertise, advice and guidance to programme applicants and venture participants.
7. Service excellence: to undertake appropriate quality management and continuous improvement processes to ensure that the final deliverables of projects comply with stakeholder requirements, appropriate legislation, University policies and procedures, and industry best practice
8. Data management: to provide management information and data analysis to inform both day to day decision making and also the long-term strategic outlook of the programme, updating system records accordingly while maintaining and ensuring the integrity of all relevant project data on University systems.
9. Collaboration: to engage in appropriate cross-College collaborative working to build out networks, share best practice, develop web-based resources and training, and drive engagement in programmatic activities.
Knowledge, Qualifications, Skills and Experience
Knowledge/Qualifications
Essential:
A1 Scottish Credit and Qualification Framework level 9 [Ordinary Degree, Scottish Vocational Qualification level 4], or equivalent in a relevant discipline/business area with evidence of continued professional development in an area relevant to the role.
A2 Knowledge of project management methodologies and principles.
A3 Knowledge of the innovation and knowledge exchange landscape within HE, or knowledge of the Scottish innovation and start-up ecosystem.
A4 Thorough knowledge and understanding of interrogating and maintaining spreadsheets, processing, analysing and presenting data.
A5 Knowledge and understanding of data integrity and its importance.
Desirable:
B1 Project management qualification and knowledge of the regulatory frameworks which govern research and innovation activities in HE.
B2 An understanding of grant application processes including costing and funder guidelines.
Skills
Essential:
C1 Project management – both short-term deadline driven and longer-term involving multiple conflicting deadlines and coordination across multiple organisational units.
C2 Excellent oral and written communication skills with the ability to communicate at all levels.
C3 Ability to interpret complex guidelines and prepare reports and budgets in line with the requirements set out.
C4 Ability to work flexibly and adapt to changing environments.
C5 High level of influencing and negotiating skills.
C6 Ability to exercise initiative and work independently but also as part of a team.
C7 Ability to network effectively.
Desirable:
D1 Experience of successfully overseeing the work of staff.
Experience
Essential:
E1 Significant experience in a senior administrative role connected to innovation, knowledge exchange or research activities, or project management experience within a role connected to higher education or the broader UK innovation ecosystem.
E2 Experience of working successfully in a complex organisational structure and/or in cross-disciplinary teams.
E3 Significant experience using spreadsheets, databases or other analytical tools to systematically collect, manage and analyse large amounts of data.
E4 Experience of managing budgets.
Desirable:
F1 Ability to assess risks and financial implications.
Terms and Conditions
Salary will be Grade 7, £40,497 - £45,413 per annum.
