Job Purpose

 

The School of Law plays a key role in the development of those planning to enter the legal profession in Scotland by offering a first-class professional postgraduate qualification. Fully accredited by the Law Society of Scotland, the School of Law delivers the Diploma in Professional Legal Practice (DPLP) as well as Trainee Continuing Professional Development (TCPD).

 

This key position within the DPLP team will support the Learning and Teaching Coordinator to enhance the student experience by working collaboratively with the broader Learning & Teaching Team and academic teaching staff to provide an excellent customer service.

 

To provide programme administrative support for the processes and procedures relating to students on the Diploma . To support Diploma students from first point of contact to graduation. To provide information, advice and front-line support service to prospective, new and continuing Diploma students. To support academic staff and colleagues involved in the Diploma programme teaching administration including the programme and course leaders.

 

Main Duties and Responsibilities

1. Responsible for the delivery of an efficient and effective administrative service to support the Diploma’s learning and teaching activity including liaison with key partners both internal and external to the School in the organisation of key resources

2. Maximise customer experience, using knowledge and judgement to provide first-contact resolution for general enquiries relating to learning and teaching activities on the Diploma with minimal supervision.

3. Contribute to a culture of continuous improvement through identifying and supporting the implementation of process improvements to enhance the student and staff experience. 

4. Responsible for programme and course administration for the full student journey, including: managing the coordination of all relevant documentation; pre-arrival planning in collaboration with the academic teaching teams; welcoming students through the induction programme; supporting registration and enrolment; and responsible for the on course administration of programmes and courses, including the management of assessments and ensuring student records are maintained on MyCampus.

5. To record assessment grades, ensuring all assessment documentation is received from Tutors and Schools for meetings of Boards of Examiners. 

6. To plan and prioritise workload, anticipating pressure points in the academic year, to ensure that deadlines are met, and an efficient service is provided to staff and students. 

7. To provide administrative support to Programme and Course Leads in support of Diploma activities and fostering good relationships with key internal and external stakeholders.

8. Ensure full compliance with University-wide policies and procedures in relation to the management of confidential information and personal data.

9. As part of the professional services team flexibly support the range of learning and teaching activities of the School as requested by the School Head of Professional Services.

10. To provide administrative support to TCPD Course Leads in support of activities and fostering good relationships with key internal and external stakeholders.

11. To undertake any other relevant duties appropriate to the post/grade subsequently allocated by the Head of Professional Services and/or L&T Operations Manager.

 

Knowledge, Qualifications, Skills and Experience

 

Knowledge/Qualifications

Essential

A1 SCQF Level 7 (HNC, VQ3, Highers, City & Guilds or equivalent) or ability to demonstrate the competencies required to undertake the duties associated with the level of post having acquired the necessary knowledge and skills in a similar role

A2 Excellent IT knowledge – Microsoft Office

 

Desirable

B1 Knowledge of the University systems, eg PIP, CMIS, MyCampus, Moodle, T4 software training

B2 Knowledge and understanding of the University structures, policy, practices and procedures

C12 Excellent demonstrable knowledge of MS Word, Excel and the use of IT generally.

 

Experience

Essential

E1 Extensive demonstrable relevant administrative experience or, without relevant qualifications, evidence of progression and development gained through relevant work experience in a busy office environment. 

E2 Significant experience of delivering a customer-focused service.

E3 Demonstrable experience of working with a variety of stakeholders and taking ideas forward into practical action plans. 

E4 Significant experience of working in a highly administrative and governance driven environment.

E5 Experience of organising events/meetings.

 

Desirable

F1 Experience of effective liaison and of building professional relationships

F2 Experience within a higher education setting, including comprehensive knowledge of administrative and organisational systems.

 

Terms and Conditions

Salary will be Grade 5, £28,031 - £31,236 per annum.
