Job Purpose
To provide high-quality, professional financial management and organisational data support for the Glasgow University Sports Association (GUSA), in close collaboration with UofG Sport, plus other teams across Student and Academic Services (S&AS).
The role enhances the accessibility, accuracy, and visibility of financial and operational information, enabling improved monitoring, reporting, and strategic decision-making across the organisation and directorate.
The post-holder will serve as GUSA’s Honorary Treasurer, holding full responsibility for the end-to-end finance process across GUSA staff, Council members, and sports clubs. This includes working in partnership with UofG Sport, University Finance, and external auditors to ensure compliance, accuracy, and timeliness in all financial activities.
Success in this role requires strong financial management expertise, excellent organisational and planning skills, and a high level of analytical and communication ability. The post-holder will engage regularly with a wide range of stakeholders including students, staff, external partners, and suppliers.
Acting as a key advisor to the GUSA President, Council, and Senior Council, the post-holder will provide financial insight and data-driven support that underpins the achievement of GUSA’s and S&AS’s strategic objectives.
Main Duties and Responsibilities
1. Financial Management & Reporting
Oversee all aspects of GUSA’s financial reporting, ensuring compliance with university regulations and external legislation. Maintain oversight of club financial activity by monitoring and reconciling expenditure to ensure alignment with approved budgets and policies, proactively flagging any discrepancies, misuse, or concerns for further investigation.
Manage the process of authorised payments, maintain accurate transaction records in Xero, and lead the preparation of year-end financial statements to support strategic financial reporting.
Produce accurate and timely management accounts to support budget monitoring and decision-making for GUSA stakeholders.
Act as GUSA's Purchasing Officer, ensuring adherence to financial procedures and assisting with travel bookings when required.
Take a lead role in supporting internal and external audit processes by preparing and providing financial documentation to ensure thorough and timely audits.
Provide professional financial management support to the wider Student and Academic Services directorate, that ensures accurate reporting and efficient process delivery in collaboration with the Finance Business Partner.
2. Stakeholder & Executive Support
Provide proactive and professional financial and administrative support and insight to the GUSA President, Council, Senior Council, Sport Development team and on occasion, S&AS Leadership Team. Deliver regular financial reports and collaborate closely with these groups to understand their specific needs, support budget holders in planning and organising within their areas, and enable more informed decision-making.
Fulfil the responsibilities of Honorary Treasurer for GUSA, overseeing treasury functions to ensure consistent, professional financial management and service to both internal and external partners.
3. Club & Membership Oversight
Support club financial management by preparing semesterly expenditure reports, delivering financial training to Club Treasurers, and working collaboratively with GU Sport Development[LS1] [LS2] [JJ3] [JJ4] to ensure appropriate club support, inform development opportunities and initiative delivery.
Provide insightful monthly reports, analysis and recommendations to Senior Council on sports club memberships, member demographics, participation, training events, development opportunities and key achievements.
4. Data & Digital Systems Management
Develop and analyse data for key projects such as student engagement surveys, sustainability tracking, and outreach development.
Assist with data governance and analysis in collaboration with UofG Sport, S&AS teams, and Planning, Insight & Analytics, including using tools like Power BI.
Deliver enhanced digital engagement and effective management of clubs by introducing, reviewing and developing the MSL online system with a key focus on improving club promotion, engagement and accessibility to key club data/information to support GUSA operations and enhancement.
5. Administrative & Governance Support
Manage and coordinate timely and compliant responses to Freedom of Information (FOI) requests, ensuring adherence to established deadlines and regulatory requirements.
Provide professional administrative support for GUSA events and lead the organisation of the annual GUSA elections.
6. Service Development & Continuous Improvement
Contribute to ongoing service improvement initiatives by suggesting and implementing new processes to enhance quality and efficiency across S&AS.
Knowledge, Qualifications, Skills & Experience
Knowledge/Qualifications
Essential:
A1 Scottish Credit and Qualification Framework level 8 8 (Scottish Vocational Qualification level 4, Higher National Diploma) or equivalent, and experience of personal development in a similar or relevant role.
A2 Excellent knowledge of Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook, plus financial management systems and tools, such as Xero and Stripe.
A3 Ability to demonstrate a detailed understanding of financial policies, processes, and procedures.
A4 Ability to demonstrate an understanding of General Data Protection Regulation.
A5 Ability to collect, analyse, and report data insight and use tools such as Power BI or other similar data analysis software.
Desirable:
B1 Ability to demonstrate a detailed understanding of higher education policies, processes, and procedures.
B2 Ability to demonstrate an understanding of Health and Safety policies.
Skills
Essential:

C9 Ability to work effectively and supportively within a large team.

C11 Strong ability to analyse data and appropriately present summary information to support planning and decision making.
Experience
Essential:
E1 Proven professional experience administering finances in a complex and busy organisation.
E2 Proven experience of complex data analysis and presentation/report writing.
E2 Demonstrable experience of working in a fast paced and varied office environment. E3 Experience of dealing effectively with a wide range of members and staff at all levels in an organisation, using initiative and judgement to proactively deliver administrative support and resolve issues.
Desirable:
F1 Experience of working within a further or higher education setting.
F2 Experience of working within an office administrative role.
F3 Experience of using Xero and/or Stripe.
Terms and Conditions
Salary will be Grade 6, £33,951 - £37,694 per annum.
