Job description

Job Purpose
To provide comprehensive administrative support and leadership to School academic and administrative staff as well as to undergraduate and postgraduate taught Engineering students. Ensuring processes and procedures related to teaching provision are implemented, supporting the School in achieving its strategic aims and objectives. Responsible for maintaining key systems within the School of Engineering Teaching Office related to teaching and quality assurance.
Main Duties and Responsibilities
1. Lead in the organisation, planning and development of the work of the teaching office discipline team whilst prioritising own busy workload in order to meet deadlines. To ensure strategic objectives of the University and School are met whilst recognising the impact any changes in University policy and procedures may have on local practises. Monitor teaching admin workload and individual performances to maximise individual contribution and achieve consistent development of team.
2.Administrative responsibility for all assessment procedures, including examinations. To organise, supervise and coordinate administrative processes in support of degree examinations. To keep up to date with changing University policies and procedures and the implementation of new software. Ensure resilient and consistent practises across processes and procedures.
3. Lead, as School Disability Coordinator, in the implementation of support for additional needs students, in both assessments and day-day-day agreed adjustments. This will encompass arrangements for readers/scribes, room bookings and liaison with students. First point of contact for staff with queries relating to additional needs students.
4.Working closely with the Programmes Manager, ensuring effective provision of quality assurance. Deputising for and responding to all teaching administration queries in their absence from University services, academic staff and beyond and attending meetings on their behalf determining overall support service priorities and requirement for resource.
5. Administrative accountability for organisation, supervision and coordination of administrative processes in support of maintaining student records, servicing committee meetings e.g. SSLC, Discipline meetings, ACM’s, processing and checking marks whilst providing an effective service and significant input contributing to a high-quality student experience.
6. Undertake any other duties as directed by the Head of the Teaching Office.
Knowledge, Qualifications, Skills and Experience
Knowledge and Qualifications
Essential
A1 Scottish Credit and Qualification Framework level 8 (Scottish Vocational Qualification level 4, Higher National Diploma) or equivalent, and experience of personal development in a similar role.
A2 High degree of computer literacy including Microsoft Office and in particular Excel.
A3 Extensive knowledge of Higher Education administrative and support systems.
Desirable
B1 In depth knowledge of University/Higher Education issues and their impact on the role.

C1 Team management skills with ability to motivate staff, manage performance and lead by example.
C2 Excellent advanced IT skills in all Microsoft packages.
C3 Ability to maintain student records and develop systems for dealing with complex rules.
C4 A high level of numeracy skills.
C5 Excellent organisational, planning and time management skills.
C6 Excellent communication and interpersonal skills, particularly communicating with students and staff at all levels.
C7 Ability to plan, organise and prioritise effectively, delivering work to standard and within deadlines when balancing competing priorities.
C8 Ability to use own initiative and be pro-active in planning ahead.
C9 Ability to work both independently and flexibly to lead a high performing team.
C10 Deal with confidential matters with tact and discretion.
C11 Excellent attention to detail (e.g. accuracy and precision in data entry).
C12 Flexibility and willingness to adapt to change.
C13 Proven analytical, problem solving skills.
C14 Demonstrable ability in the use of PIP, BiQuery, MyCampus and CMIS.
C15 Proven ability to develop and provide strong customer service to a range of stakeholders.
Experience
Essential
E1 Relevant work experience preferably within Higher Education.
E2 Previous line management/supervisory responsibility.
E3 Experience of planning and progressing work activities within established guidelines.
E4 Experience of using My Campus or other student records system.
Desirable
F1 Experience of clerking committees and producing minutes.
Terms and Conditions
Salary will be Grade 6, £33,951 - £37,694 per annum.
This post is full time (35 hours p/w) and open ended. Relocation assistance will be provided where appropriate.
