Job Purpose

As an Exams Administrator you will work as part of a team to support the smooth and efficient running of University of Glasgow examinations. You will play an important part in co-ordinating exam activities, providing excellent customer service to students and staff, maintaining accurate records, and contributing to continuous process improvement. As a valued member of the team, your focus will be on ensuring positive student experiences and effective operations both on and off campus.

 

Main Duties and Responsibilities

1. Support the planning, organisation, and co-ordination of examinations, including invigilation services, examination timetabling, and result processing to ensure a positive student experience.

2. Act as the primary point of contact for examinations related enquiries, providing prompt and helpful responses to students and staff.

3. Collaborate with both the Examinations Operation Manager and Timetable Manager to support the creation and administration of the exam timetable, as well as communication with relevant stakeholders.

4. Support the co-ordination and supervision of invigilation services for examinations including recruitment, training, updating documents and scheduling of invigilators.

5. Foster effective partnership working with other services and schools, enabling seamless collaboration to ensure effective delivery of exams and enhance the overall examination experience.

6. Resolve any unforeseen issues or disruptions during examinations, implementing appropriate contingency measures to minimise disruptions and maintain the integrity of the examination process.

7. Process exam results, ensuring accurate data input and effective liaison with schools and departments.

8. Provide guidance and advice to students and staff on examination-related matters, including exam procedures, regulations, and support services available.

9. Support the collection and analysis of user feedback regarding examination procedures, invigilation quality, and overall satisfaction, identifying areas for improvement.

10. Play an active role as a team member, contributing to project and process reviews, and conducting analysis of user feedback to identify opportunities for continuous improvement and enhance the effectiveness of exam services and procedures.

 

Knowledge, Qualifications, Skills and Experience

Knowledge/Qualifications  

Essential:

A1 Ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills in a similar role; OR Scottish Credit and Qualification Framework level 7 (Advanced Higher, SVQ 3, HNC or equivalent), and experience of personal development in a similar role.

 

Desirable:

B1 Knowledge of examination processes, policies, and regulations in an academic setting.

B2 Knowledge of databases or student records systems.

 

Skills

Essential:

C1 Proven ability to plan, organise and prioritise a large workload effectively to meet deadlines without supervision.

C2 Strong interpersonal and communication skills with the ability demonstrate diplomacy and discretion.

C3 Excellent IT skills: Outlook, Excel, Word, with the ability to use University management information systems.

C4 Excellent customer service skills

C5 Ability to work collaboratively with other services and academic departments.

C6 Initiative and judgement to resolve problems independently.

C7 Ability to multitask and react to changing priorities.

C8 Team working skills and a positive and enthusiastic approach.

C9 Ability to manipulate and analyse data.

C10 Attention to detail.

 

Desirable:

D1 Experience with quality assurance/compliance processes.

D2 Ability to produce data driven insights for service improvements.

 

Experience  Essential:

E1 Ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills in a similar role.

E2 Experience of successful partnership working across a large and complex organisation.

E3 Supervisory experience.

E4 Data management and analysis. Experience of using Excel to manage large amounts of data, make calculations and produce reports.

 

Desirable:

F1 Experience working in an area involving assessment/examinations or similar.

F2 Experience in event co-ordination and delivery.

F3 Project support experience.

 

Terms and Conditions

Salary will be Grade 5, £28,031 - £31,236 per annum.

 

This post is full time and open ended.
