Job description

Job purpose
To provide professional guidance, support and coordination for the development, implementation and delivery of a range of student recruitment events and activities. Lead a range of events through physical, virtual and hybrid formats. Ensure that all events enhance the University’s brand and reputation with prospective students and broader stakeholders, maximising engagement at all events and positively impacting strategic recruitment targets.
Main Duties and Responsibilities
1. Develop a range of in-person, virtual and hybrid student recruitment events and activities.
2. Manage the operational delivery of the events with a focus on exceptional attendee experience and continuous improvement in a competitive sector.
3. Through sector research and ongoing evaluation of events, advise the Senior Events Officer (Student Recruitment) and Recruitment and Marketing colleagues on innovative ways to increase engagement and satisfaction at recruitment events.
4. Operate within pre-agreed budgets, using delegated authority for efficient, effective and appropriate expenditure which demonstrates value for money and return on investment.
5. Effectively coordinate suppliers, agencies and colleagues, as applicable, to ensure the provision of cost effective and suitable functional and logistical support for all events, including catering, AV support, design and room bookings, and the effective use of traditional and social media.
6. Lead on the planning of post-event evaluations, analyse qualitative and quantitative data and present findings to the Senior Events Officer (Student Recruitment) in a concise report to inform and improve future recruitment events.
7. When required, deputise for the Senior Events Officer (Student Recruitment) on the design and delivery of events to ensure effective management and business continuity.
8. Be responsible for maintaining up-to-date attendee and event information, in line with GDPR compliance, and using approved systems. Draft risk assessments and, with the Senior Events Office (Recruitment), monitor and respond to risks appropriately.
9. Maintain high-quality events management information including, but not limited to, updating participant information, coordinating communications and developing appropriate web content.
10. To be a subject matter expert on student recruitment, including understanding and implementing new innovations and approaches, drawing on insight from the University of Glasgow, the Higher Education Sector more broadly and relevant professional networks.
11. Cultivate strong professional relationships with colleagues across the Colleges and University Services to deliver successful recruitment activity. Develop credibility to act as a critical friend and encourage development and innovation.
12. Develop and disseminate events management best practice including maintaining and promoting the events toolkit and resources, contributing to communities of practice and assessing event proposals from outside the team requesting support.
13. Any other duties as agreed with the Head of Events or the Senior Events Officer (Student Recruitment).
Knowledge, Qualifications, Skills and Experience
Knowledge/Qualifications
Essential:
A1 Ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills through personal development and progression in a similar related role(s) OR Scottish Credit and Qualification Framework level 8 (Scottish Vocational Qualification level 4, Higher National Diploma) or equivalent, and experience of personal development in a similar role.
A2 Demonstrable knowledge and experience of events management best practice including processes, procedures and experience of specialised equipment, software, systems and policies relevant to the role.
A3 Strong understanding of privacy and data protection considerations and legislation, and knowledge of the requirements of working with personal and confidential information.
A4 Demonstrable knowledge of relevant health and safety regulations, policies and procedures as relevant to the role.
Desirable:
B1 Knowledge of the University of Glasgow and/or the Higher Education sector.
B2 Knowledge and understanding of the student recruitment landscape in Higher Education.
Skills
Essential:
C1 Strong organisational skills, ability to work under pressure, prioritise own workload and meet tight deadlines.
C2 Ability to adapt and respond to changing priorities.
C3 Excellent oral and written communication and interpersonal skills, including tact, diplomacy and discretion, with the ability to work with a wide range of contacts at all levels.
C4 Highly developed eye for detail and accuracy.
C5 Proven ability to work on own initiative and judgement to identify priority issues and problem solve.
C6 Ability to coordinate multiple people and resources to deliver an outcome (without having own line management authority).
C7 Good financial understanding and budget management skills.
C8 Ability to critically review and improve processes and procedures.
C9 Strong Microsoft Office skills, especially Word and Excel.
C10 Ability to promote events and generate publicity through digital methods.
C11 Ability to work flexibly on weekends and evenings to support events which fall outside of core University hours.
Experience
Essential:
E1 Relevant experience in the events industry or HE sector across a range of formats.
E2 Experience of organising high-profile events for up to, or in excess of, 500 attendees.
E3 Experience of negotiating with external agencies and suppliers.
E4 Proven experience of problem solving, planning, organising and setting priorities.
E5 Project management and risk assessment experience.
Desirable:
F1 Experience of student recruitment event delivery.
F2 Experience managing or supervising staff or event volunteers.
F3 Experience with Raisers Edge or other CRM system and Terminal4 (T4) or equivalent web content management system.

Salary will be Grade 6, £33,951 - £37,694 per annum.
This post is full time (35 hours p/w) and open ended. Relocation assistance will be provided where appropriate.
