Job Purpose

The DHVL Research Coordinator will support the successful delivery of the DHVL research portfolio by providing high quality project coordination and administrative support to ensure that projects are scoped and delivered on time and in line with governance and funder requirements. The postholder will work collaboratively with internal and external stakeholders, including academic researchers, NHS, SMEs and commercial organisations to help manage project timelines, coordinate resources and support the monitoring and evaluation of project outcomes. Additionally, the post holder will support research funding application submissions through close working with University and NHS Research Governance teams.

 

Main Duties and Responsibilities

  1. Coordinate day-to-day project activities across a portfolio of DHVL projects, ensuring key milestones, deliverables, and timelines are monitored and met.

  2. Maintain up-to-date and accurate project documentation including project plans, risk registers, Gantt charts and status reports ensuring that mitigations and actions are actioned effectively.

  3. Support the collation, analysis, and reporting of project data and performance metrics, contributing to both internal and external reporting requirements.

  4. Liaise with project partners, clinical collaborators, and external stakeholders to ensure efficient information flow, scheduling of activities, and timely follow-up of actions.

  5. Ensure accurate records are maintained in line with funder, audit, GDPR requirements and assist with audit preparation and compliance tracking.

  6. Support the preparation and costing of funding applications (grant and commercial) in collaboration with DHVL Management and central teams.

  7. Work with University and NHS Research Governance teams to ensure that appropriate permissions and approvals are in place for all research projects including provision of support to project teams to navigate ethics, SafeHaven access and information governance requirements.

  8. Support the DHVL in the set-up and facilitation of meetings, events and workshops following up on any actions and developing feedback mechanisms as appropriate.

  9. Provide general administrative support e.g. drafting of high-level correspondence, preparation of documents and presentations and summary documents to a clear brief using established templates/standards where available and create non-standard formats as required.

  10. Contribute to the development and implementation of standardised tools, templates, and systems to enhance project delivery and continuous improvement and identify opportunities for process enhancement, drawing on lessons learned and stakeholder feedback to improve future project delivery.

  11. Undertake any other reasonable duties as required by the team / Line Manager

 

Knowledge, Qualifications, Skills, and Experience

 

Knowledge/Qualifications

Essential

A1 Scottish Credit and Qualification Framework level 8 (SVQ 4, HND) or equivalent, and experience of personal development in a similar role OR ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills through personal development and progression in a similar related role(s).

A2 Good understanding of project planning and management

A3 Knowledge and understanding of UK clinical research legal and ethical requirements

A4 Strong understanding of risk and issue management in project settings.

A5 Familiarity with digital health, healthtech, research, or innovation environments.

 

Desirable

B1 Completed Good Clinical Practice (GCP) and/or Good Research Practice (GRP) training

B2 Knowledge of NHS data access and research processes

 

Skills

Essential

C1 Excellent written communication skills to prepare and present complex information and produce clear project management artefacts.

C2 Excellent organisational and coordinating skills and ability to organise documents and data in a clear and simple way

C3 Excellent interpersonal and influencing skills to interact and collaborate effectively with a range of stakeholders.

C4 Strong analytical, problem-solving and project management skills, ensuring effective coordination and delivery of research projects.

C5 Ability to cope under pressure while maintaining a high level of accuracy

C6 Ability to work independently and under supervision, as appropriate, assessing priorities and managing own workload effectively.

C7 Competence in applying Microsoft Office suite including collaborative tools in O365 with emphasis on SharePoint.

C8 Strong ability to quickly embrace and learn new concepts, techniques or methodologies

C9 Ability to adapt personal working style across multiple stakeholders, working independently, leading on activities and contributing as a team player.

C10 Accuracy and attention to detail, particularly when managing documentation, data, and reporting.

C11 Numeracy and the ability to understand and communicate financial information clearly and accurately.

 

Desirable  

D1 Experience of working with NHS data and research databases

D2 Experience of supporting preparation of ethics submissions and applications for data and/or biospecimen access

 

Experience

Essential

E1 Experience coordinating or supporting project delivery in a complex innovation environment.

E2 Administration and organisation of project documents

E4 Experience of working with internal and external stakeholders in a collaborative setting.

 

Desirable

F1 Experience of working in a digital health, research, or innovation context.

Terms and Conditions

Salary will be Grade 6, £33,951 - £37,694 per annum.

 

This post is full time and open ended with funding up until 30th September 2028..
