Job Purpose
As Advising Support Coordinator, you will play a key role in the College Advising team. You will work in partnership with academic and professional services colleagues to enable an effective and collaborative advising administrative service to support a diverse portfolio of taught courses and programmes. You will support delivery of the College of Arts and Humanities Strategy 2023 - 2028. Informed by the University’s Change programme you will adopt a data-driven approach to evaluate and improve processes to enhance the experience for both students and staff.
Main Duties and Responsibilities
1. Provide high-quality and wide-ranging administrative support to the Student Support Manager (Advising & Policy) and Chief Adviser, including support for planning and scheduling of key activities, with detailed knowledge of governance and ability to interpret and provide guidance on university and college policy.
2. Interrogate, manipulate and interpret complex data to create actionable insights, using the results to inform high quality decision-making across the College Advising & Wellbeing workstream.
3. Management of student records systems, ensuring accuracy and integrity of data, and the application of University, College and School policies and procedures.
4. Contribute to a culture of continuous improvement through identification and organisation of training opportunities. Working with MSDI, IT Services and other services develop. and promote existing, training resources and a central knowledge base to support up skilling and training of new entrants and existing staff in relation to MyCampus record management, UofG Helpdesk, university regulations, to enhance student support and improve outcomes.
5. Provide supervision and line management duties on behalf of the Student Support Manager (Advising & Policy), as required, to enable effective service delivery.
6. Provide administrative support for relevant College Committees.
7. To play an active role in the Registration and Enrolment process, supporting through streamlining of the UG and PGT Registration and Enrolment process across the College by reviewing and amending student records and running regular reports from MyCampus to identify barriers to registration.
8. Liaise with Registry to meet the annual registration deadline by ensuring timely withdrawal/registration completion, and to maximise accurate income attribution at School level for all programmes.
9. Coordinate all aspects of the annual progression activity including identifying alternative pathways for progression to aid retention.
10. Provide enhanced support for admissions data across all subjects in the College to support strategic and operational decision making.
11. Exercise empathy, initiative, and judgement, proactively managing relationships with both internal and external stakeholders to create an adaptive customer experience.
12. Represent the College effectively at meetings to keep up to date with developments, to gain and share information, including best practice, expertise and working practices in the higher education context, and contribute to College and University-wide initiatives.
13. Contribute to a culture of effective change management and business continuity and resilience.
14. Undertake other duties as assigned by the Student Support Manager (Advising & Policy) and/or the Head/Deputy Head of Student Services.
Knowledge, Qualifications, Skills and Experience
Knowledge/Qualifications
Essential:
A1 Ability to demonstrate the competencies required to undertake the duties associated with this post, having acquired the necessary knowledge and skills in a similar role, or:
A2 Scottish Credit and Qualification Framework level 8 (Scottish Vocational Qualification level 4, Higher National Diploma) or equivalent, and experience of personal development in a similar role.
Desirable:
B1 Knowledge of University software packages (MyCampus, Qlikview, Ivanti, PIP)
B2 Knowledge of Further/Higher Education policies and procedures.
Skills
Essential:
C1 Excellent organisational and planning skills with the ability to use own initiative and exercise independent judgement under pressure in order to meet tight deadlines.
C2 Strong analytical abilities to logically assess data and apply effective evidence-based approaches to decision making and process improvements.

C7 Ability to understand and apply policies, regulations, guidelines and standard operating procedures relevant to the role.
C8 Proficient user of Excel, PowerPoint, Word, Outlook, Teams, Zoom, and similar online applications.
Experience
Essential:
E1 Relevant experience in a similar role.
E2 Proven ability to develop and provide strong customer service to a range of stakeholders.
E3 Providing reliable, high-quality guidance and advice in area of expertise.
E4 Experience of mentoring, developing and motivating staff in a line management, supervisor, coaching or mentoring capacity.
Desirable:
F1 Experience of presenting and delivering training to a wide ranging audience.
F2 Experience of analysing/evaluating/interpreting data to inform decision-making and service improvements.
Terms and Conditions
Salary will be Grade 6, £33,482 - £37,174 per annum.
This post is full time and fixed term for up to 12 months (to cover a secondment).
