Job description

Job Purpose 

The Residence Life Events and Volunteer Officer will support the development of our residential student community and enhance the experience of students living in our halls of residence.

 

You will lead the design, development, and delivery of a dynamic events program for students in our halls.

 

As part of the Residence Life team, you will collaborate with the student events team and contribute to our ResLife Strategy, coordinating events that align with the four key pillars of life in halls: Social & Fun, Community & Belonging, Education & Learning, and Health & Wellbeing. Building strong relationships with internal services and external businesses, organisations, and charities to support a diverse and inclusive events program.

 

You will be responsible for leading a team of student volunteers and for creating and distributing resources to deliver an exciting, engaging, and educational year-round events program.

 

Main Duties and Responsibilities 

1. Lead a review of current events, considering student feedback and event data, assessing relevance for the current cohort. Focus on continuous improvement and identify opportunities for new partnerships and creative ideas.

2. Build and implement a student engagement framework (e.g., focus groups, surveys) to ensure the events program is shaped by the needs, interests, and values of the Residential Community.

3. Develop an annual cycle of events and activities that align with the academic and university calendar, ensuring a consistent and engaging experience for students.

4. Take a lead role in organizing, delivering, and evaluating both in-person and online events, ensuring compliance with relevant processes, procedures, and policies.

5. Recruit, train, and support a team of student volunteers, ensuring they play an integral role in planning, delivering, and evaluating events.

6. Develop and maintain a Volunteer Handbook detailing key policies, including the volunteer code of conduct, social media use, finance policy, and the recognition and reward scheme.

7. Work with teams such as Careers and SRC to implement a volunteer reward and recognition program to motivate and engage student volunteers.

8. Provide line management for the Communication and Event Coordinator, as well as the student volunteers. Oversee event scheduling, allocate tasks, and manage deadlines.

9. Support the Communication and Event Coordinator in compiling timely reports on event outcomes, sharing the impact with the wider team.

10. Monitor, allocate, and manage the Residence Life Events budget, maintaining accurate records of event expenditure, income, attendance, and student experience.

11. Coordinate with internal and external parties, including the Social Responsibility, Health and Welfare teams, and build strong partnerships with the SRC, Eco-Hub, Active Lifestyles, clubs, and societies.

12. Liaise professionally with project teams, organize steering groups, schedule meetings, and handle queries from speakers, participants, and attendees.

 

Knowledge, Qualifications, Skills and Experience

Knowledge & Qualifications 

Essential: 

A1 Scottish Credit and Qualification Framework level 8 (Scottish Vocational Qualification level 4, Higher National Diploma) or equivalent, and experience of personal development in a similar role. Or: Ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills through personal development and progression in a similar related role(s).

A2 Detailed knowledge and experience of events management processes, procedures, and relevant software/tools.

A3 Knowledge of community engagement, empowerment processes, and outreach methods.

A4 Strong understanding of the challenges faced by university students, particularly those from diverse cultural backgrounds, with a commitment to creating an inclusive and supportive environment.

A5 Knowledge of event safety protocols and relevant health and safety policies and procedures.

 

Desirable:

B1 Recognised Events Management qualification such as CIM or CMI.

B2 Knowledge of university or higher education procedures, policies, and processes.

B3 Familiarity with virtual events platforms.

B4 Experience creating digital media content for social media platforms and websites.

C3 Excellent oral and written communication skills, including tact, diplomacy, and discretion.

C6 Exceptional organisational skills, with experience prioritising workloads and meeting deadlines with minimal supervision.

C7 Demonstrated project management capability, including planning, execution, and oversight to ensure timely and within-budget delivery.

C8 Proven analytical skills, able to assess situations, identify problems, and develop timely, effective solutions.

C9 Ability to work efficiently in a high-pressure environment, setting priorities and managing time effectively.

 

Experience 

Essential:

E1 Significant experience in events management, including planning, organisation, and delivery of small to large-scale events (e.g., conferences, seminars, multi-day events).

E2 Proven experience in supervising and leading teams, delegating tasks, and managing performance. Ability to develop staff and support their professional growth.

E3 Project management experience, overseeing all phases from planning through to execution and delivery.

E4 Experience implementing continuous improvement programs to enhance service delivery and operational efficiency.

E5 Experience in implementing strategies related to student engagement or youth participation, fostering community involvement.

E6 Significant experience in recruiting, training, supporting, and supervising volunteers, with a strong understanding of volunteer management processes.

E7 Proven ability to manage and motivate volunteers, ensuring engagement and effective performance.

E8 Experience in managing and monitoring event budgets, ensuring accurate tracking and alignment with financial goals.

 

Desirable: 

F1 Experience delivering hybrid events.

F2 Experience in community development work.

F3 Experience working with young people.

 

Terms and Conditions

Salary will be Grade 6, £33,482 - £37,174 per annum.

 

This post is full time and open ended.
