Job description
Job Purpose
To work as a member of the team responsible for providing effective and proactive administrative support for teaching and assessment in MBChB2. This post is outward facing and student focused with an emphasis on the provision of high-quality support for teaching activity with the aim of enhancing the UG student experience. MBChB2 teaching takes place mainly within the Wolfson Medical School Building (main campus) and online. The post holder’s primary base will be WMSB.
Main Duties and Responsibilities
1. To be a first point of contact for MB2 students and staff with MB2 teaching responsibilities.
2. To provide efficient and effective organisation of teaching and assessment activities on campus or online.
3. To develop and maintain close working relationships with the Undergraduate Medical School Administrative and Academic teams to ensure quality and consistency of the student experience.
4. To maintain accurate record keeping relating to MB2.
5. To manage and resolve queries from students and staff, providing advice and guidance and referring onwards as appropriate.
6. Working with the MB2 teaching team and Block Leads to organise annual lecture timetables, resolving any timetabling issues, and booking rooms through the University’s timetabling system, CMIS.
7. To recruit and co-ordinate teaching facilitators for Problem Based Learning teaching sessions.
8. To provide administrative support for all elements of MBChB2 assessment, including final grade upload and clerking Board of Examiner meetings.
9. To work closely with the GP teaching support team to co-ordinate Vocational Studies teaching sessions for students.
10. To assist with the annual Registration and Enrolment process each academic session.
11. To maintain and update the MB2 Moodle sites.
12. To maintain student record attendances on the MVLS Attendance System, flagging issues as appropriate.
13. To organise and take minutes of Staff-Student Liaison Committee meetings, ensuring appropriate actions are followed through.
14. To provide organisational support for student meetings with the MB2 Year Director.
15. To raise requisitions and generate purchase orders through the Agresso system.
16. To provide on-the-day administrative support at OSCE clinical assessments.
17. To provide other administrative support as requested by the Undergraduate Medical School Manager and Deputy Managers.
Knowledge, Qualifications, Skills and Experience
Knowledge/Qualifications
Essential:
A1 Scottish Credit and Qualification Framework level 7 (Advanced Higher/ Scottish Vocational Qualification Level 3, Higher National Certificate) or equivalent, and experience of personal development in a similar role.
A2 Excellent working knowledge of Microsoft Office - Word, Excel, PowerPoint, Outlook, Teams
Desirable:
B1 Knowledge of core University business systems including MyCampus, CMIS and Moodle
B2 Knowledge of business systems Agresso and HR Core
B3 Knowledge and understanding of University structures, policies and procedures
Skills
Essential:
C1 Excellent IT skills including Microsoft Office
C2 Ability to work under pressure, prioritise own workload and meet tight deadlines
C3 Excellent interpersonal and communication skills
C4 Ability to use tact, diplomacy and discretion
C5 Ability to analyse and solve problems
C6 Ability to understand, interpret and forward plan the administrative requirements of academics and students
C7 Ability to understand and apply policies, regulations, guidelines and standard operating procedures relevant to the role. C8 Ability to work as independently and as a member of the team

D1 Proven ability in committee support and minute taking
Experience
Essential:
E1 Extensive administrative experience with evidence of progression and development gained through relevant work experience in a busy office environment.
E2 Significant experience of delivering a customer-focused service.
E3 Demonstrable experience of working with a variety of stakeholders and taking ideas
forward into practical action plans.
E4 Proven experience of working with large datasets.
Desirable
F1 Experience of working in a Higher Education professional degree programme
F2 Experience of Higher Education student records and timetabling systems
F3 Experience of working with HR recruitment processes
Terms and Conditions
Salary will be Grade 5, £26,338 - £30,805 per annum.
