Job description

Job Purpose

To support the Hospitality team in the creation, running and administration of internal Hospitality events. The job holder will be responsible for engaging with internal stakeholders to organise catering for a variety of events on campus.

 

Main Duties and Responsibilities

1. Assist the Hospitality Manager with the creation of catering quotes for internal events using current menus as well as managing bespoke requests.

2. To manage the Hospitality inbox, answering queries and responding professionally while escalating to Hospitality Manager where required and redirecting enquiries to Conference & Events or Delivered Catering if necessary.

3. To work with the Hospitality Chefs to ensure menu’s meet stakeholder requirements.

4. To perform daily maintenance and reporting relating to the catering booking system, ensuring that the system is operating correctly and menu changes are uploaded correctly including allergen information.

5. To assist in the control of food and non-food items ensuring that the compliance of the department policies on storage and stock procedures are always adhered to, including assisting with stocktaking, raising POs and goods receiving.

6. Production of stationary for all hospitality events including personalised signage, menus and buffet cards where necessary.

7. To liaise with Conference & Events team to ensure smooth transition from organisation to operations.

8. To meet with internal stakeholders to understand requirements for internal events and build catering quotes based on these requests.

9. Liaise closely with Finance in relation to day-to-day queries, including raising Purchase Orders, and invoicing, anomalies and reporting.

10. To Assist the Hospitality team in the delivery of events, working with the Hospitality Manager to coordinate staff at events.

11. To be responsible as point of contact in run up to, and on day of, events to answer querier and amend bookings as required.

12. General administration duties using Microsoft Office, and other internal and external systems.

13. Any other duties reasonably associated with this post.

 

Knowledge, Qualifications, Skills and Experience

Knowledge/Qualifications

Essential:

A1 Event management qualification or experience in a similar role with an ability to demonstrate the competencies required to undertake the duties associated with this level of post.

A2 Excellent knowledge of Microsoft platforms such as Excel, PowerPoint and Word with an ability to create reports, compile data and management information.

 

Desirable

B1 Knowledge of food and drink trends in events catering.

B2 Knowledge of catering booking systems such as Spoonfed.

 

Skills

Essential:

C1 Ability to work effectively under the pressure and during peak times.

C2 Excellent time management skills and the ability to prioritise effectively, working independently as required.

C3 Excellent presentation and communication skills both verbally and in writing.

Experience

Essential:

E1 Experience of working independently and as part of the team.

E2 Previous experience in the catering and hospitality industry.

E3 Experience of undertaking an administrative role within a busy or similar department.

 

Desirable

F1 Previous experience of working within a commercial business environment.

 

Terms & Conditions

For a well-known Glasgow brand.

Salary will be £14.00 - £14.50 per hour depending on experience.

 

This appointment is full time (37.5 hours p/w, and 5 over 7 days) and open-ended. Flexibility will be required by mutual agreement and there will be some weekend and public holiday working at peak periods.
