Job description
Job Purpose
To provide a range of administrative and support services to the Health Behaviour in School-aged Children (HBSC) study and take a leading role in the recruitment of schools for the 2026 Scottish survey. The HBSC study is a large, international study, conducted in collaboration with the World Health Organisation every four years, which aims to improve understanding of the health and wellbeing of adolescents, monitor changes in health and wellbeing over time, and inform policy development at national and international levels. Scotland has participated in the HBSC study since the 1980’s. The postholder will work with Dr Jo Inchley and other project staff within the School of Health and Wellbeing.
Main Duties and Responsibilities
1. To deliver a range of effective professional administrative tasks in support of the HBSC study outcomes.
2. Provide administrative support to the HBSC study team including preparing survey packs for schools, contacting schools to take part in the survey, creating and maintaining a school database and conducting follow-up phone calls to ensure school recruitment targets are met.
3. Act as first point of contact for schools ensuring effective communication, providing accurate and current information and responding to enquiries in a clear, professional, and timely manner.
4. Ensure that confidentiality of school data is maintained in relation to the University policies and procedures.
5. Prepare documents, presentations and other materials using established formats and standard software packages.
6. Collaborate with HBSC team colleagues and participate in team meetings.
7. Undertake any other reasonable duties as required by the HBSC team.
8. Engage in reasonable professional development activities as appropriate.
Knowledge, Qualifications, Skills and Experience
Knowledge/Qualifications
Essential:
A1. Ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills in a similar role.
A2. Scottish Credit and Qualification Framework level 5 or 6 [National 5 or 6, Scottish Vocational Qualification level 2 or 3] or equivalent, and experience of personal development in a similar role.

Essential:
C1. Ability to undertake assigned tasks in a timely manner and to an acceptable standard.
C2. Strong IT skills.
C3. Excellent organisational and time management skills, with the initiative and judgement to manage workload, respond to changing requirements and resolve problems independently.
C4. Ability to work effectively both independently and as part of a team.
C5. Excellent communication and interpersonal skills, with the ability to communicate clearly (both written and verbal), clarifying requirements, responding to internal colleagues and external partners (e.g. funder, schools).

Terms and Conditions
Salary will be Grade 4, £23,881 - £26,338 per annum.
This post is full time (35 hours per week) and fixed term for up to 9 months (1st Sep 2025 to 31st May 2026).
