Job description

Job Purpose

 

The External Engagement Coordinator will support the continuing development of the Adam Smith Business School (ASBS) by assisting in the management of collaborative external relationships and partnerships and the coordination of engagement opportunities for ASBS. The External Engagement Coordinator will work closely with the Students Recruitment, Marketing and External Engagement team, Programme Administrators and Academic Colleagues to deliver comprehensive administrative support to all external engagements.

 

Main Duties and Responsibilities

 

1.  Responsible for the co-ordination and overall delivery of the external engagements and serve as a crucial point of contact for these activities.  This includes arranging client meetings, tracking and managing a portfolio of engagements, managing the presentation slots, dealing with any student/client issues, arranging contracts, monitoring client participation, managing feedback etc.

2.  Identify and implement improvements to existing processes around industry engagement.

3.  Support the Business Development Manager in the management of industry engagements across research expertise and professional development, aligning internal requirements with external needs.  This includes industry projects, consultancy projects and other engagements.

4.  Manage the client experience on industry engagement activities. Provide a professional and effective support service to relevant academic staff and external partners in relation to industry engagements.  Clients will be any external organisation or individual who is engaging with students.

5.  Deliver a range of support services for business development activities or processes to an agreed standard or specification to maximise service quality and continuity.  The External Engagement Coordinator with provide comprehensive administration support across all activities.

6.  Assist and/or lead in the co-ordination of other engagement opportunities like workshops, student trips and site visits.

7.  Resolve issues independently, applying sound judgement based on experience, following well established processes or procedures.

8.  Work in partnership with the Recruitment and Marketing team, Communications team and the Events team to support in specific activities related to external engagement.  Additional activities include content creation for marketing materials and events.

9.  Attend and participate in networking events and opportunities (both internally and externally).  Use these activities to nurture relationships and gain knowledge in specific areas of interest.

10.  Determine short-term priorities, planning and scheduling work activities for weeks ahead to ensure operational efficiency.

11.  Undertake any other reasonable duties that the Line manager may request.

 

Knowledge, Qualifications, Skills and Experience

 

Knowledge/Qualifications

 

Essential:

A1 Scottish Credit and Qualification Framework level 7 (Higher / Scottish Vocational Qualification level 3, Higher National Certificate) or equivalent, and/or experience of personal development in a similar role.

A2 Comprehensive knowledge of Microsoft Office.

 

Desirable:

B1 Knowledge of and understanding of university policies, processes, and systems.

 

Skills

 

Essential:

C1 Excellent organisational and time management skills and an ability to manage a busy workload in a timely manner and to an excellent standard.

C2 Able to work proactively and problem-solve, using initiative and with limited supervision.

C3 Excellent communication skills (both oral and written) to ensure effective reporting, administration support and customer service.

C4 Excellent interpersonal skills to work effectively with external partners and academic colleagues.

C5 Ability to cultivate, build and maintain excellent relationships, influencing colleagues where required.

C6 Highly effective use of a range of IT systems combined with capacity and willingness to learn and implement new systems.

C7 Utilise advanced Excel functions, including but not limited to pivot tables, VLOOKUP, INDEX/MATCH, and complex formulas to analyse and manipulate large datasets.

C8 Develop, manage, and optimise Microsoft Office forms (Word, Excel, and Access) to streamline data collection, reporting, and business processes.

C9 Create dynamic, user-friendly forms and templates for internal and external stakeholders, ensuring accuracy and ease of use.

C10 Maintain, update, and improve existing Microsoft Office documents, ensuring consistency and compliance with company standards.

C11 Demonstrable project management skills.

C12 Able to work as part of a team to build highly effective relationships and deliver excellent support to partners internally and externally.

C13 Able to maintain a positive, enthusiastic attitude when dealing with challenges and change.

 

Experience

 

Essential:

E1 Experience within a similar or related role.

E2 Experience of working with external stakeholders.

E3 Experience of creating and improving processes.

 

Desirable:

F1 Experience of working within a Higher Education environment (or similar).

F2 Experience of organising events.

F3 Experience of managing projects.

F4 Experience of business development/relationship management (either leading or supporting).

 

Terms and Conditions

 

Salary will be Grade 5, £26,338 - £30,805 per annum.

 

This post is full time (35 hours per week) and open ended (permanent).
