The post sits within the Health Economics and Health Technology Assessment (HEHTA) Research Group ( www.glasgow.ac.uk/hehta) which is a fast-growing and vibrant team of multi-disciplinary researchers.
We are looking for an experienced and self-motivated Executive Assistant to join our thriving department, providing high-quality administrative, secretarial and project support to Professor Olivia Wu, William R Lindsay Chair of Health Economics.
This is an exciting and wide-ranging role involving matters that are sometimes of a sensitive, highly confidential and/or urgent nature. In addition, the post holder is expected to interact extensively with senior members of the department, the wider University, government representatives and other external organisations. You will be the first and a central point of contact for enquiries, manage Professor Wu’s diary, meeting schedule and travel arrangements, and review and implement processes and procedures to ensure the effective organisation of business, strategic and operational planning.
In addition, to supporting Professor Wu’s leadership of a large portfolio of academic activities, the postholder will also support her activities in leadership roles within the National Institute for Health and Care Research (NIHR) and the Research Excellence Framework (REF) 2029.
Job Purpose
This is an exciting opportunity for a highly skilled and motivated administrator to support Professor Olivia Wu, William R Lindsay Chair of Health Economics. The postholder will manage and oversee administrative operations to ensure the smooth running of day-to-day schedules and strategic activities. This includes the development and implementation of administrative processes and policies, applying professional expertise and current best practice.
In addition to supporting the Chair’s leadership of a large portfolio of academic activities, the postholder will also support the Chair’s activities in their leadership roles within the National Institute for Health and Care Research (NIHR) and the Research Excellence Framework (REF) 2029.
Main Duties and Responsibilities
1. Provide dedicated administrative support to the William R Lindsay chair. This will involve planning and organising and engaging the input of others from across the Service/School/University and externally as appropriate.
2. Develop and implement processes and policy that support the operation of the office, including diary, travel and event management, committee administration, financial and other administrative support, in line with university policies and procedures. Continuous improvement of office processes in consultation with other University offices. Provide training on office processes and policy to new staff.
3. Proactively and independently service several internal and external senior committees. Prepare agendas, papers, and minutes in a timely manner, and ensure follow-up actions are progressed between meetings. Draft reports and briefing documents as required.
4. Manage all incoming correspondence and email, including Freedom of Information enquiries. Draft letters and responses and proactively follow up actions as appropriate.
5. Manage and coordinate complex and continually changing schedules for senior staff and maintain efficient systems.
6. Proactively liaise with other University offices and access relevant information and business systems to prepare data and develop activities associated with the relevant strategic brief.
7. Provide administrative oversight on financial matters and monitor and report on budgets. Act as Purchasing Officer using the University’s financial systems.
8. Plan and coordinate significant events which showcase the University / promote collaborations as required.
9. Build and maintain effective working relationships with academic and professional services colleagues across the University and with external collaborators, supporting the Chair’s leadership of national research programmes and REF-related activities.
Knowledge/Qualifications
Essential:
A1. Skill level equivalent to achievement of Scottish Credit and Qualification Framework level 8 (Scottish Vocational Qualification level 4, Higher National Diploma) or equivalent, and experience of personal development in a similar role.
A2. Knowledge of the University structure.
Desirable:
B1. Degree or equivalent in a relevant subject.

C2. Highly developed and proven interpersonal skills including tact and diplomacy.
C3. Ability to manage a large volume of strategically important information that has institutional-level implications.

C5. Excellent oral and written communication skills with an ability to write reports and letters for a variety of audiences.
C6. Numerate with excellent IT skills and ability to interpret, manipulate, and present data.

D1. Highly developed analytical and problem-solving skills, with the ability to remain calm and methodical under pressure.
D2. Ability to liaise and collaborate across organisational boundaries and with external partners.
Experience
Essential:
E1. Demonstrable experience of developing and implementing administrative systems.
E2. Experience of managing the office of a senior member of staff.
E3. Experience of interacting with confidence and professionalism with internal and external colleagues and partners at the highest level.
E4. Experience of process improvement.
E5. Experience of implementing and interpreting University regulations and providing advice and guidance to staff and students.
E6. Demonstrated experience of applying tact, diplomacy, and discretion in professional settings, with a consistent commitment to maintaining confidentiality when handling sensitive information.
Desirable:
F1. Experience of monitoring budgets.
F2. Proven experience of using initiative to solve problems or deal with unexpected changes in workload.
Terms and Conditions
Salary will be Grade 6, £33,951 - £37,694 per annum pro rata.
This post is part-time (24.5 hours per week), and open ended with funding available up until 31st May 2028 in the first instance.
