Job Purpose 

The post holder deputises for the Immigration Compliance Manager and is responsible for supporting key aspects of the University’s statutory duties relating to the Student Visa Route, including: pre-registration identity and document checks for non-UK students, processing of eVisas, the collection and maintenance of passport and visa records, the co-ordination of visa registration/check in events for international students, training and supervision of staff undertaking student immigration checks and monitoring and preparation of student data for reporting on the Home Office Sponsor Management System.

 

Main Duties and Responsibilities

1. Responsible for planning and delivery of mandatory annual re-registration/check-in events for all Student Visa holders returning to continue their studies.

2. Manage the reporting, analysis and manipulation of data held in MyCampus to identify any issues with respect to the University’s Student Visa Sponsor Licence, such as students who have withdrawn, not registered, changed circumstances, completed their studies or whose visa/passport expiry dates are approaching.

3. Responsible for reporting and updating information on the Home Office’s Sponsorship Management System (SMS) and management/retention of the University’s sponsor licence and Student Sponsor Status, fulfilling the University’s statutory reporting requirements as set out in the Home Office’s guidance for sponsors. Act as a liaison with the Home Office on any matters relating to the afore-mentioned licences.

4. Responsible for maintaining up-to-date knowledge of UKVI policy as it relates to student immigration. A key part of the role holder’s duties will be briefing and training all staff involved in checking right to study for all students starting and continuing their studies at the University, to ensure they are working in compliance with all UKVI regulations. The role holder will also be required to represent the University at various sector groups and UKVI policy briefings.

5. Respond to enquiries from University staff, students and the Home Office. The role holder will seek to achieve resolution in the majority of cases, with support from/referral to the Immigration Compliance Manager where necessary.

6. Provision of specialist advice to staff and students on matters such as the Student Visa application process and requirements, engagement monitoring, record keeping, Confirmation of Acceptance for Studies (CAS), the Academic Technology Approval Scheme (ATAS)and English language assessment.

7. Create and devise policies and standard operating procedures and develop operational enhancements to existing practices.

8. Deputising for the Immigration Compliance Manager in their absence.

 

Knowledge, Qualifications, Skills and Experience 

Knowledge/Qualifications

Essential: 

A1 Ability to demonstrate the competencies required to undertake the required duties through personal development and progression in a similar related role(s). Or: Scottish Credit and Qualification Framework level 8 (Scottish Vocational Qualification level 4, Higher National Diploma) or equivalent, and experience of personal development in a similar role.

A2 Awareness of Home Office regulations for Student Visa sponsors.

 

Desirable:

B1 General knowledge of the UK immigration system.

 

Skills 

Essential:

C1 Ability to design and deliver student-facing services in line with UKVI sponsor requirements and international student expectations.

C2 Ability to understand complex guidance and legislation, and apply this in an organisational setting.

C3 Excellent written and oral communication skills.

C4 Excellent IT skills - must be comfortable working with large amounts of data and advanced use of Microsoft Office applications (e.g. Excel) to organise and manipulate that data.

C5 Ability to cope with pressure and accept responsibility using initiative and judgement to resolve unforeseen issues and challenges independently, often referring to government guidance and legislation and third parties.

C6 Ability to manage train, and supervise colleagues with a positive and enthusiastic approach.

 

Experience

Essential:

E1 Relevant work experience or evidence of progression and development through more significant work experience.

E2 Experience of giving detailed advice based on complex and specialised policy or guidance.

E3 Experience of administrative work using specialised software or complex computer systems.

E4 Experience of working independently and planning/prioritising work.

E5 Experience of handling sensitive and confidential data in compliance with GDPR or other relevant legislation or policy.

E6 Experience in a busy and customer focused environment.

E7 Experience of managing and/or supervising colleagues.

 

Terms and Conditions

Salary will be Grade 6, £33,951 - £37,694 per annum.

 

This post is full time and fixed term for up to 12 months from start date
