Job Purpose
The Deputy Exams Manager is responsible for managing the smooth and efficient delivery of day-to-day examination services.
You will support the Exams Manager in efficiently planning, organizing, and delivering examinations, ensuring adherence to standards and procedures, and actively contributing to service development. You will supervise team members, provide guidance to users, and foster partnerships with stakeholders.
Main Duties and Responsibilities
1. Responsible for the smooth and effective delivery of day-to-day examination services. Manage workload distribution, and ensure tasks are prioritized appropriately and deadlines are met.
2. Work in partnership with academic schools, services, and external partners to ensure efficient and responsive customer service. Promote teamwork to ensure smooth service delivery.
3. Independently manage any unforeseen issues during examinations, taking appropriate action to minimize disruptions and maintain the integrity of the examination process.
4. Ensure that examination-related processes and procedures are followed in line with policies and quality standards.
5. Coordinate invigilation services, including recruitment, training, and scheduling of invigilators, to ensure adherence to examination regulations and guidelines.
6. Support examination timetabling, co-ordinating with academic schools and support services to ensure timelines are met, timetabling data is accurate and the efficient allocation of resources.
7. Provide operational support, and expert guidance to staff to stakeholders on examinations.
8. Contribute to the continuous improvement of services, making recommendations to enhance service quality and efficiency.
9. Support the collection of feedback from stakeholders about examination services and contribute to the analysis and preparation of reports
10. Undertake other duties commensurate with the grade as necessary, including relevant training and development activities.
Knowledge, Qualifications, Skills and Experience
Knowledge/Qualifications
Essential:
A1 Scottish Credit and Qualification Framework level 8 (Scottish Vocational Qualification level 4, Higher National Diploma) or equivalent, and experience of personal development in a similar role.
Desirable:
B1 Knowledge of examination processes, policies, and regulations.
B2 Knowledge of timetabling.
B3 Knowledge and understanding of key systems such as T4, CMIS and MyCampus.
Skills
Essential:
C1 Strong organizational/planning and time management skills to prioritize work and meet deadlines.
C2 Proven people management skills, comfortable giving direction to others and delegating workloads.
C3 Proven problem-solving and decision-making skills to handle unforeseen issues independently and implement appropriate contingency measures.
C4 Good interpersonal and communication skills.
C5 Good customer service skills.
C6 Good IT skills.
C7 Good relationship building skills to work effectively with internal services and academic schools.
C8 Good attention to detail to ensure accuracy and integrity in examination processes.
Desirable:
D1 Project management skills.
Experience
Essential:
E1 Ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills in a similar role.
E2 Leadership and supervisory experience.
E3 Experience of partnership working across a large and complex organisation.
E4 Experience of using specialised IT systems and software.
E5 Experience working under pressure and to tight timelines.
Desirable:
F1 Experience of planning and delivering events.
F2 Project co-ordination or support experience.
F3 Experience of timetabling.
Terms and Conditions
Salary will be Grade 6, £33,482 - £37,174 per annum.
This post is full time and open ended.
