Job description

Job Purpose

Provide high quality administrative support to the Summer Programmes and Community Engagement team within Widening Participation and Lifelong Learning (WP&LLL).  The postholder will spend 1 day per week supporting tutoring programmes and 1.5 days supporting the work of the University of Glasgow (UofG) and IntoUniversity (IU).

 

Support the delivery of the University of Glasgow’s Senior Phase tutoring programme, working with colleagues and partners to achieve positive outcomes. Act as a key point of contact between the University of Glasgow and the IntoUniversity centre team to support the delivery of IU's programme with children and young people in the Maryhill area. Provide administrative support to enable the partnership to function well. Liaise with internal and external partners and stakeholders to maximise the broader community impact of the programme.

 

Main Duties** and Responsibilities**

1. Provide administrative support to University WP&LLL team, arranging facilities on the university campus for delivery of elements of the IU and Senior Phase tutoring programmes ensuring the smooth delivery of these elements on campus. As appropriate, liaise with IU Centre, other WP&LLL, External Relations (ER) and wider University academic and support service staff to plan, implement and support the development of the programmes in the IU centre and on the University of Glasgow campus. Administer the running of activities on campus.

2. Liaise with WP, academic and support staff across the University to form and engage with a network of university staff and students to support the IU Centre with the content of the IU programme, such as the delivery of subject specific sessions in the Centre and on-campus. Promote the opportunity to become a student volunteer mentor to current undergraduate students. Support scheduling of tutoring sessions by reviewing and matching tutor availability with school timetables.

3. Liaise with external contacts and agencies, e.g., Local Authorities (LAs), secondary schools, Further Education Colleges, to promote and engage with the tutoring programmes, ensuring their relevance and benefit to stakeholders and participants. Travel to secondary schools at the commencement of each cohort to support pupil registration. Daily accessing and monitoring registration and attendance of children and young adults on the programmes. Verify session delivery and update participation records and registers for use by university and local partner primary and secondary schools.

4. Liaise with the IU and WP&LLL teams regarding the needs of individual children and young adults and access to academic and support services within the university and/or other agencies, as appropriate.

5. Enable opportunities for IU participants to become involved in other UofG WP&LLL initiatives and vice versa, as required, and facilitate the processes to ensure this takes place.

6. Utilise the expertise of colleagues within the WP&LLL Team to provide support for any IU students who are within a vulnerable group, such as care experienced students. Where appropriate, work with these students in their preparation for and transition to the University or elsewhere, for example, providing information, advice and guidance on HE and UCAS application procedures and processes, including interview and pre-entry test advice.

7. Support the planned work of the IU centre and any additional staff in their engagement with Further Education Colleges and specific community groups. Ensure this aligns and complements with broader existing WP&LLL provision in the community.

8. Support donor stewardship with IntoUniversity project by organising logistics for meetings such as room bookings and catering and facilitating meetings and visits by potential donors.

9. Where appropriate, work across the IU centre network in Scotland to support specific regional activity and events for children and young adults across Glasgow and Edinburgh and national activity throughout Scotland.

10. As required, work with WP Research Associate and the WP&LLL and IU Centre teams to collect and disseminate evaluation forms associated with the programmes. Contact participants and school staff to collect feedback before, during and after programme and following receipt of Scottish Qualifications Authority (SQA) results.

11. Manage own complex and changing workload in line with relevant deadlines, with minimal supervision.  Directly support the delivery of IU sessions and tutoring sessions by delivering campus tours for children and young people visiting the university and in the IU centre and joining tutoring sessions online where required for safeguarding and technical support

12. Conduct other duties as required to support the Head of WP&LLL, IU Centre and WP teams.

 

Knowledge, Qualifications, Skills and Experience

Knowledge/Qualifications

Essential:

A1 Either: Ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills in a similar role. Or: Scottish Credit and Qualification Framework level 7 (Advanced Higher / Scottish Vocational Qualification level 3, Higher National Certificate) or equivalent, and experience of personal development in a similar role.

A2 Sound understanding of the learning skills required for study in Higher Education (HE).

A3 Knowledge of the Scottish secondary school system.

A4 Knowledge of HE admissions procedures and the Universities and Colleges Admissions Service (UCAS) application process.

A5 Current PVG registration and ability to register for work with Children.

 

Desirable:

B1 Knowledge of the work of IntoUniversity and University of Glasgow WP&LLL provision.

B2 Understanding of University policy and procedure relating to the recruitment of tutors including Protection of Vulnerable Groups (PVG) requirements.

B3 Understanding of safeguarding and regulations relating to working with children and young adults.

B4 Understanding of University policy on Equality and Diversity procedures and policies.

 

Skills Essential:

Experience

Essential:

E1 Experience of working in the HE and widening participation sectors.

E2 Experience of working with learners in schools.

E3 Experience of working within a multiple-partner organisation / programme.

 

Desirable:

F1 Project Administration.

 

Terms and Conditions

Salary will be Grade 5, £26,038 - £30,505 per annum pro rata.

 

This post is part-time (17 hours per week), and has funding up to the 31st July 2025.
