Job description

Job Purpose

 

To enhance the student experience by working collaboratively with the School and College administrative teams and academic and leadership staff. Provide administrative support, information and advice on processes and procedures related to students at pre-entry and pre-honours in particular (UG and PGT).

 

Main Duties and Responsibilities

 

1. To be responsible for delivering an efficient and effective administrative service to support the College Student Services Advising function, school learning, teaching and related activity, including liaison with key partners both internal and external.

2. Contributing to the administration of registration and enrolment of pre-honours students; and provide ongoing curriculum support for pre-honours students, including the management and co-ordinating of pre-enrolment activity; support for the delivery of policy and procedure, clerking formal committees, managing documentation.

3. Contributing to processes of monitoring and enhancing student engagement and the student experience.

4. Delivering an excellent customer experience; using knowledge and judgment to provide first-contact resolution for general enquiries on curriculum choice and  learning and teaching activities across the College with minimum supervision.

5. Providing administrative support to the College leadership team, Dean and Deputy Deans of Learning, Teaching and Student Experience and Academic Advisers, developing collaborative working relationships with key internal and external partnerships.

6. Developing and build specialist expertise in relation to your area of responsibility: including, but not limited to, support for curriculum advice, policy and process, sign-posting to relevant academic regulations, sign-posting to sources of advice.

7. Ensuring full compliance with University-wide policies and procedures, and the management of confidential information and personal data are adhered to.

8. As part of the Professional Service team flexibly supporting learning and teaching activities by undertaking any other relevant duties appropriate.

9. Undertake any other reasonable duties as required by the Head of Service or nominee.

Knowledge, Qualifications, Skills and Experience

 

Knowledge/Qualifications

 

Essesntial 

A1 Ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills in a similar role.

A2 Scottish Credit and Qualification Framework Level 7 [Advanced Higher / Scottish Vocational Qualification Level 3, Higher National Certificate] or equivalent, and experience of personal development in a similar role.

 

Desirable

B1 Knowledge of the University systems (PIP, CMIS, MyCampus, Moodle and T4).

B2 Knowledge and understanding of the University structure policy, practices, and procedures.

 

Skills

 

Essential

C1 Ability to understand and apply policies, regulations, guidelines, and standard operating procedures relevant to the role.

C2 Strong accuracy and attention to detail particularly when using data and information from multiple sources.

C3 Strong organisational skills: ability to work under pressures, prioritise own workload, meet tight deadlines and adapt to changing priorities.

C4 Ability to work proactively both individually and collaboratively to achieve team goals.

C5 Excellent communication skills, both verbal and written.

C6 Proven initiative and judgment to identify priority issues and problem solve.

C7 Discretion and ability to maintain confidentiality.

 

Experience

 

Essential

E1 Significant experience of delivering a customer-focused service.

E2 Demonstrable experience of working with a variety of stakeholders and building effective relationships.

E3 Experience of managing complex datasets, analysing data, extracting reports, and resolving related problems.

 

Terms and Conditions

 

Salary will be Grade 5, £28,031 - £31,236 per annum.

 

This post is full time (35 hours per week) and open ended (permanent).
