Role Purpose

 

To undertake collection management activities to support access to the University of Glasgow’s world class collection of archives, manuscripts and rare books while promoting their ongoing preservation.

To support management of and enable access to the Library’s Thurso Street facilities for University colleagues.

 

Main Duties and Responsibilities

1.      Provide access to the Library’s spaces within the Thurso Street building, being the principal keyholder and main point of contact for building management and maintenance.  Undertake regular environment and buildings checks to support the preservation of ASC collections.  Raise requests for maintenance works and escalate issues in line with departmental procedures.

 

2.      Provide support for the production, transport, handling, and storage of collection items, in particular large format items such as ship plans, architectural drawings and maps, in line with ASC service requirements.

 

3.      Co-ordinate the transport of collection items across sites, liaising with ASC colleagues and University teams as required.  Undertake appropriate packaging of collection items for transport in line with departmental standards.

 

4.      Monitor demand for collection productions, liaising with colleagues to ensure effective delivery of items in line with ASC team priorities.

 

5.      Supervise ASC’s Stock Assistants, monitoring demand and delegating tasks to ensure effective completion of tasks in line with ASC team priorities.

 

6.      Maintain accurate records of activities, particularly the production, return, and location of collection items, in line with departmental procedures.

 

7.      Undertake routine preservation activities as directed by line manager in line with departmental procedures.

 

8.      Flag and escalate preservation issues affecting collections items in line with departmental procedures.

 

9.      Contribute to the development and maintenance of procedures for the production, shelving, and transport of ASC collection items across sites.

 

10.   Assist with the planning and delivery of large-scale collection moves.

 

11.   Undertake any other reasonable duties as required by the Library Collections team.

Knowledge, Qualifications, Skills and Experience

Knowledge/Qualifications

Essential:

A1 Ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills in a similar role. OR Scottish Credit and Qualification Framework Level 5 or 6 (National 5 or 6, Scottish Vocational Qualification level 2 or 3) or equivalent, and experience of personal development in a similar role.

 

Desirable:

B1 Working knowledge of archives or rare book material and storage environments.

B2 An understanding of heritage collection care practice and principles.

B3 Knowledge and understanding of health and safety legislation and the importance of a safety culture.

B4 Qualification in field of information management/library/archive studies or conservation.

B5 Understanding of relevant library policies/procedures/systems.

B6 Knowledge of Collections Management System EMu.

 

Skills  

Essential:

C1 Excellent communication and interpersonal skills (written & oral).

C2 Ability to work independently and as part of a team.

C3 Ability to manage own workload.

C4 Attention to detail and the ability to work to a high level of accuracy in all work undertaken.

C5 Excellent IT skills, including knowledge of Microsoft packages, especially Excel.

C6 Good analytical and problem solving capability, and proven skills in planning, organising and prioritising work.

C7 Manual handling skills, with the ability to climb ladders, reach and lift boxes and archives.

C8 Excellent manual dexterity and the ability to use tools and equipment.

 

Desirable:

D1 Understanding of space management for storing physical library or archival collections.

D2 Eligibility to drive University vehicles, including holding a UK driving licence and willingness to sit a University driving assessment.

 

Experience

Essential:

E1 Relevant experience working with library/archives or comparable heritage materials.

E2 Relevant work experience of responding to shifting priorities within a busy environment.

 

Desirable:

F1 Experience of working in an archives or special collections environment.

F2 Experience in handling archives and manuscript or other heritage collection materials.

F3 Experience of undertaking preservation/conservation tasks within the heritage sector.

F4 Previous supervisory and training experience.

F5 Experience of supporting or delivering space maintenance and management projects.

 
 

Terms and Conditions

Salary will be Grade 4, £24,685 - £26,707 per annum.

 

This post is full time and open ended.
