Job Purpose

 

Support the development and implementation of the Adam Smith Business School’s alumni engagement strategy by delivering a programme of alumni and supporter activities, with a particular focus on international alumni networks. Contribute to strategic planning by providing insight and recommendations, and manage the delivery of initiatives that enhance alumni involvement in student recruitment, employability, reputation, and lifelong learning. Build and maintain relationships with alumni and colleagues across the School and University to ensure alumni are informed, engaged, and empowered to support the School’s goals. The role includes line management of the Alumni Assistant (ASBS) and Alumni Officer (ASBS) and responsibility for coordinating alumni communications, events, and volunteer programmes.

 

Main Duties & Responsibilities

 

1. Strategic Alumni Engagement:  Support development and implementation of alumni engagement strategies tailored to ASBS priorities, with a particular emphasis on international alumni communities and networks. Contribute to operational planning and strategic goal-setting for alumni engagement across the School.

 

2. International Network Development: Lead the development and stewardship of ASBS’s international alumni networks, identifying opportunities for collaboration, influence, and advocacy. Support the School’s internationalisation agenda through alumni activity.

 

3. Event & Programme Delivery: Coordinate and deliver alumni events, including reunions, anniversaries, and international gatherings as required. Support alumni-led initiatives and ensure alignment with School and University priorities.

 

4. Student & Graduate Engagement: Design and deliver student-facing initiatives that promote alumni engagement, including careers events, mentoring programmes, and graduation activities. Attract relevant alumni to support employability and student experience.

 

5. Volunteer Recruitment & Stewardship: Identify, recruit, and steward alumni volunteers to support School objectives in recruitment, reputation, student experience and student support. Maintain a pipeline of engaged alumni and ensure appropriate recognition and stewardship.

 

6. Ranking & Reputation: Collaborate with colleagues across the school to devise a strategy for engaging and communicating with specific ranking cohort students and alumni, to support and increase alumni participation in ranking surveys.

 

7. Communications & Content: Create and manage tailored communications for ASBS alumni, including newsletters, social media, and targeted updates. Ensure messaging aligns with School and University branding and priorities.

 

8. Stakeholder Collaboration: Build strong relationships with ASBS academic and professional services colleagues, providing expert advice on alumni engagement. Collaborate with Connections in Practice, Careers, Internationalisation, and Marketing teams to maximise impact.

 

9. Fundraising & Philanthropy: Work with Development colleagues to identify and cultivate alumni for philanthropic opportunities and ensure good communication across teams and stewardship of relevant individuals.

 

10. Data & CRM Management: Maintain accurate records of alumni engagement using Raiser’s Edge. Identify and track influential alumni and ensure appropriate stewardship and communication.

 

11. Line Management: Line manage the Alumni Assistant (ASBS), providing coaching, support, and performance management. Foster a collaborative and high-performing team culture.

 

12. Representation & Advocacy: Represent the University and ASBS at alumni events, both locally and internationally. Act as an ambassador for the School and promote its achievements and priorities.

 

13. Monitoring & Reporting: Monitor alumni engagement activity and provide regular reports on progress, impact, and opportunities for development.

 

Knowledge, Qualifications, Skills & Experience

 

Knowledge/Qualifications

 

Essential:

A1 Either: Ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills in a similar role. Or: Scottish Credit and Qualification Framework level 9 (Ordinary Degree, Scottish Vocational Qualification level 4, Higher National Certificate) or equivalent (including professional accreditation with relevant formal training), and experience of personal development in a similar role or related roles

A2 Thorough knowledge and understanding of best practice policies and procedures in alumni engagement and how they can be used to support institutional objectives, including understanding of trends in the sector.

A3 Knowledge of privacy and data protection issues and understanding of the requirements of working with personal and confidential information

A4 Knowledge of the principles of effective marketing communications including for digital channels

 

Desirable:

B1 Knowledge of the fundraising environment in Higher Education

B2 Knowledge of the relevant areas of strategic importance (University of Glasgow, the College of Social Sciences and the Adam Smith Business School)

 

Skills

 

Essential:

C1 Proven high level interpersonal and communication skills including active listening, negotiating, high levels of tact the ability to produce/present clear and concise information to a range of audiences with ability to influence beyond authority

C2 Excellent organisational and planning skills with the ability prioritise competing demands from a variety of stakeholders and resolve conflicting priorities

C3 Cultural and linguistic sensitivity to serve alumni from across the world

C4 Initiative, tact and discretion to handle personal relationships appropriately

C5 Positive “can do” attitude and the ability to stay calm under pressure

C6 High level of competency in IT Including the use of Microsoft Word, Excel, Access and Outlook, including proficiency with relationship/CRM systems

C7 Excellent attention to detail.

 

Desirable:

D1 Mandarin speaker

 

Experience

 

Essential:

E1 Experience in a stakeholder engagement or marketing role

E2 Experience of managing and developing staff

E3 Experience of interrogation and input into a relationship management database such as the Raiser’s Edge and using output to influence decision making

E4 Experience of using social media to promote activity and information

E5 Experience of organising events

 

Desirable:

F1 Experience of /involvement in volunteering and/or student activity

F2 Experience of creating and maintaining web pages

 

Terms and Conditions

 

Salary will be Grade 7, £41,064 - £46,049 per annum.

 

This post is full time (35 hours per week) and fixed term for up to 12 months in the first instance.
