Job description
Job Purpose
We are seeking an experienced Administrator to join the School of Infection & Immunity, MRC-University of Glasgow Centre for Virus Research (CVR) (http://www.cvr.ac.uk/). This role will provide high-quality administrative support across the CVR, contributing to the effective delivery of research, communications, and strategic initiatives. As a key member of the CVR administrative team, the successful candidate will support senior staff and help ensure the smooth running of core activities, in alignment with the University’s values and objectives.
Main Duties and Responsibilities
1. Plan and organise own workload to deliver high-quality administrative support to the Associate Directors, CVR Research Support and Communications Team, and the wider CVR admin team.
2. Manage calendars, schedule meetings, and assist with email correspondence and general administrative tasks on behalf of the Associate Directors, Research Manager, and Business Manager.
3. Liaise with the CVR Director’s PA to coordinate travel and logistics for staff and visitors.
4. Act as the out-of-office contact during the Director’s PA absences and progress relevant tasks.
5. Coordinate and support key CVR meetings and committees, including scheduling, venue booking, and accurate minute-taking - covering senior-level meetings as required.
6. Assist in preparations for high-profile visits.
7. Where appropriate, provide administrative support for the CVR Research, Culture, Equality, Diversity & Inclusion (EDI), and Public Engagement & Communications (PEC) strategy groups.
8. Produce the weekly internal newsletter.
9. Maintain and update social media channels; monitor and report on analytics.
10. Assist with promoting events and activities, including EDI initiatives, training sessions, and awareness campaigns.
11. Maintain and update the CVR SharePoint site.
12. Support the “Research Goes Viral” platform and staff/student profile development.
13. Manage campus screen content updates and monthly event briefing slides.
14. Maintain and update trackers and resources for: (a) Horizon scanning for funding opportunities (b) Medals, prizes, and recognition awards (c) ResearchFish and MRC reporting
15. Assist with career development and training initiatives.
16. Provide general administrative support to all CVR staff, students, and visitors as part of the CVR administration team.
17. Undertake any other appropriate duties as identified by the CVR Business Manager or Line Manager.
Qualifications, Knowledge, Skills and Experience
Qualifications/Knowledge
Essential:
A1. Scottish Credit and Qualification Level 7 (Advanced Higher/Scottish Vocational Qualification level 3, Higher National Certificate) or equivalent, and experience of personal development in a similar role or Ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills in a similar role.

Essential:
C1. Strong organisational and time-management skills, with the ability to prioritise tasks effectively.
C2. Excellent written and verbal communication skills, with a professional and approachable manner.
C3. Strong interpersonal skills and the ability to work collaboratively.
C4. High level of accuracy in maintaining and updating records.
C5. Attention to detail in reviewing documents, emails, and reports for grammar, formatting, and compliance.
C6. Ability to handle sensitive information with tact and discretion.
C7. Proficient in Microsoft Office applications including Word, Excel, Outlook and PowerPoint with the ability to create and manage documents, spreadsheets and presentations to a professional standard.
C8. Competence in updating and maintaining web-based systems such as intranet pages or online forms.
Experience
Essential:
E1. Proven experience in a similar administrative role, preferably supporting multiple stakeholders.
E2. Experience in scheduling meetings, managing calendars, and coordinating logistics.
E3. Minute-taking experience, including senior-level or formal committee meetings.
E4. Demonstrated experience in managing multiple priorities and working independently.
E5. Experience using Sharepoint for storing, sharing and managing documents and information within a team.
Desirable:
F1. Experience working in a University, Research Institute or similar academic environment.
F2. Familiarity with communications platforms and social media (e.g. Linkedin, X/Twitter) for professional communication and engagement.
F3. Experience of using Agresso.

Hybrid working arrangements may be considered following successful completion of the probationary period, with a minimum of 3 days on Campus and up to 2 days working from home.
Terms and Conditions
Salary will be Grade 5, £28,031 - £31,236 per annum.
This post is full time (35 hours per week) and has funding until 31 March 2027 in the first instance.
