Job description
Job Purpose
To provide a range of administrative and support services to Prof. Alastair Leyland and Prof Laurence Moore, as required within the School of Health and Wellbeing in the College of Medical, Veterinary and Life Sciences, acting as a key support contact for academic and administrative staff.
Main Duties and Responsibilities
1.To deliver a range of effective professional administrative tasks in support of School outcomes.
2.Provide support to groups and committees including notetaking, minuting, and subsequent preparation of minutes as appropriate.
3.Act as first point of contact, responding to enquiries in a clear, professional, and timely manner.
4.Responsible for diary management, co-ordinating hybrid meetings (e.g., in-person and remotely).
5.Prepare documents, presentations and other materials using established formats and standard software packages.
6.To maintain plans and budget tracking and supporting documentation.
7. To prepare straightforward analysis, interpretation, and data manipulation.
8. To actively plan and prioritise work activities, assigning as appropriate routine tasks to others, to ensure operational efficiency.
9. Collaborate with colleagues and participate in team/group meetings/seminars/workshops across the School and nationally/internationally via Zoom.
10.Undertake any other reasonable duties as required by the team.
11.Engage in reasonable professional development activities as appropriate.
Knowledge, Qualifications, Skills and Experience
Knowledge/Qualifications
Essential:
A1 Ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills in a similar role.
Or
A2 Scottish Credit and Qualification Framework level 5 or 6 [National 5 or 6, Scottish Vocational Qualification level 2 or 3] or equivalent, and experience of personal development in a similar role.
Skills
Essential
C1 Excellent secretarial and clerical skills including ability to take minutes at meetings.
C2 Excellent written, verbal and interpersonal communication skills.
C3 Ability to work effectively as part of a team and independently.
C4 Proven ability to organise and prioritise workload, working to deadlines as required.
C5 Ability to work flexibly, and to exercise initiative, where appropriate..
C6 Ability to work accurately and with attention to detail.
C7 Excellent IT skills and proficiency in Microsoft Office (e.g. Word, Excel, Outlook, Teams).
Desirable
D1 Knowledge of University of Glasgow policies and procedures.
D2 Knowledge of Powerpoint, Mentimeter, Campaign Monitor
Experience
Essential
E1 Experience of working in a busy office environment or undertaking a similar role.
E2 Prior experience of an administrative role supporting 2 or more large, complex projects in Higher Education or similar.
Desirable
F1 Experience of providing PA support.
Terms and Conditions
Salary will be Grade 4, £23,881 - £26,338 per annum, pro rata.
This post is part time (0.75 FTE, 26.25 hours per week over 4 or 5 days) and Open ended with funding available up until 31 May 2027.
