Job Purpose
This role contributes directly to the School’s strategic reputation and brand through accreditation and rankings, cross-disciplinary collaboration and external engagement, student experience through quality assurance and programme recognition, brand and reputation and continuous improvement of accreditation processes and data management. The post holder will support the Accreditations and Reputation Manager and Rankings and Accreditation Manager in delivering high-impact projects that underpin the School’s strategic goals.
The role holder will plan and organise alongside the team, accreditation, school initiatives from inception through to implementation that will support the strategic themes of the business needs of the School. The role holder will contribute to the School’s triple crown accreditations, professional accreditations as well as other awards, ensuring continuous improvement as well as supporting the brand and reputation to meet the School strategic objectives.
Main Duties and Responsibilities
1. Responsible for providing administrative support to each of the Programme Directors for the programme accreditations all areas of accreditation provision to ensure the smooth operation of preparations and availability of accurate and timely information across the School’s management information systems by:
- Applying detailed knowledge of appropriate operating procedures and working accreditation practices for the following accreditation bodies:
- Chartered Institute of Personnel and Development (CIPD)
- Charted Management Institute (CMI)
- Charted institute of Marketing (CIM)
- Exercising initiative and judgement to ensure effective delivery of accreditation
- Administration
- Implement improvements to existing process and create new ones where needed, ensuring these meeting the University wide QEA procedures
- Providing support, guidance and knowledge to students who would like to attain the accreditations award
- Learning the different professional accreditation platforms to register and moderate student memberships.
2. Responsible for providing administrative support to the Deputy Head of School, Accreditation and Reputation Manager and Rankings and Accreditation Manager in all areas of accreditation provision to ensure the smooth operation of preparations and availability of accurate and timely information across the School’s management information systems by:
- Applying detailed knowledge of appropriate operating procedures and working accreditation practices for the following accreditation bodies
- Association to Advance Collegiate Schools of Business (AACSB) (support)
- Association of MBAs (AMBA) (Lead)
- The European Quality Improvement System (EQUIS) (support)
- Exercising initiative and judgement to ensure effective delivery of accreditation administration
- Ensuring awareness of School and University wide QEA procedures to inform the accreditation report and supporting documentation
3. Delivering large volumes of complex data including manipulating and maintain the existing data and to work closely with the accreditation managers to plan, coordinate, and deliver the new School Data Project, which aims to improve how we collect and manage data to support REF 2029 and upcoming re-accreditations (AMBA, AACSB, EQUIS and professional accreditations).
4. Manage preparations for AMBA accreditation visits and support AACSB and EQUIS, including:
- liaising with accreditation bodies to agree visit dates, travel and accommodation for peer review team
- create and agree timelines with appropriate colleagues ensuring awareness and nature of responsibility during the visit
- manage and organise briefing session ahead of visit with all staff, students and other stakeholders
- manage and organise any mock visits ahead of actual peer review visit
- ensure peer review team are fully prepared ahead of arrival for visit, full access to documentation and any additional information requests are met
5. Contribute to the review of AMBA and professional accreditation procedures within the School in order to recommend development and improvements in the collation of data and supporting documentation in response to the requirements of each accreditation body by:
- Creation of process maps and FAQ’s
- Conduct an administrative review after each accreditation and recommend revisions/improvements to School wide processes
6. Work closely with the Brand and Reputation team to support the branding of the School and support the Design Team with the new design process and manage requests as and when they come in. Acting as a main point of contact with the supplier to discuss branding, implement improvements to existing processes and be responsible for overseeing the ordering of branding merchandising by:
- Monitoring merchandise and carry out quarterly stock checks
- Updating and maintain the merchandise catalogue
- Managing requests submitted and ensure requests are handled in a timely manner
- Researching new products and obtain quotes from authorised suppliers
- Monitoring the budget for all merchandise outgoing and incoming payments
7. Work closely with the Accreditations and Reputation Manager in the planning of the delivery of special and anniversary projects such as Wealth of Nations and MBA 50th and supporting the Menopause project. This will involve working closely with the key and senior academics from the Business School along with the Communications Team and Events Team. It will include responsibility of project management, planning meetings and monitoring budgets.
8. To support the School Strategies by attending meetings, creating documents and ensuring KPI’s are monitored. Collaborate with the Data Analyst on the monitoring of the KPIs using the strategy dashboard.
9. Work closely with the Communications Manager to support all School Awards by:
- Setting up and clerking regular meetings with the Awards Team
- Managing and updating the awards tracker – researching deadlines including shortlisting and awards ceremonies.
- Providing support to the Communications Manager in coordinating any entries for awards submission.
10. Responsible for own complex and changing workload, with the ability to work under minimal supervision.
11. To act as alternate to Accreditations Co-ordinator and shadow their main duties and responsibilities.
12. The post holder will, from time to time, be required to undertake other duties of a similar nature as may reasonably be required by the line manager.
Knowledge, Qualifications, Skills and Experience
Knowledge/Qualifications
Essential:
A1. Ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills in a similar role. Or: Scottish Credit and Qualification Framework level 7 (Advanced Higher / Scottish Vocational Qualification level 3, Higher National Certificate) or equivalent, and experience of personal development in a similar role
A2. Broad understanding of the University structure and policies, practices and procedures in relation to Quality Enhancement and Assurance
Desirable:
B1. Knowledge and understanding of the different accreditation bodies (AACSB, AMBA and EQUIS and professional accreditations)
B2. Experience of a quality enhancement/accreditation regime, preferably within an HE setting
B3. Experience of working in a higher or further education setting

C1. Ability to interact effectively with people at different levels within the University and external companies

C3. Excellent communication skills (oral and written) and ability to communicate complex data/concepts clearly and concisely

Salary will be Grade 5, £28,031 - £31,236 per annum.
This post is full time (35 hours per week) and fixed term. This post is to cover maternity leave for up to 12 months or until the substantive postholder returns.
