Job description

Job Purpose

To provide professional support to the Academic Collaborations (AC) team within the Academic Policy & Governance (APG) division of Academic Services in relation to the development and management of the University’s collaborative partnerships that involve students studying for a University of Glasgow academic award.

 

The Academic Collaborations Officer will be part of a small team providing specialist governance and policy advice to ensure that the interests of students and the University are protected, and that collaborative provision is appropriately governed in accordance with sectoral expectations and in alignment with SFC and QAA guidance, the University’s Academic Quality Framework, and associated approaches to academic standards and quality. Academic Collaborations also support the University’s Validation arrangements and Transnational Education (TNE) agreements.

 

A key function of the role is to provide comprehensive coordination and operational support of governance and policy processes relating to existing and new Academic Collaborations and Partnerships, ensuring that collaborations are supported by effective and fit for purpose systems and processes.

 

Main Duties and Responsibilities

Reporting to the Senior Academic Collaborations Manager:

1. Support the University's collaborations process through comprehensive coordination, governance approvals, and professional service delivery. This will involve planning, organising and engaging the input of others from across the Service/School/University and externally as appropriate.

2. Develop and maintain accurate records of collaboration activities to enable effective tracking, planning and to generate reliable reports to enable APG monitoring and for key stakeholders and relevant committees. Overseeing the management of the collaboration database, ensuring accuracy and efficiency in data maintenance, while generating insightful reports to support informed decision-making.

3. Provide professional guidance to staff and external stakeholders on the collaboration process, ensuring smooth and effective communication and access to necessary resources, tools and guidance. Manage the flow of documentation and communications assuring alignment with established processes and lead on the ongoing development and refinement of internal documentation, website content, FAQs, and training materials for staff across departments fostering clarity, consistency, and operational efficiency.

4. Act as the primary liaison for staff seeking information to offer advice on the Academic Collaborations Process and the status of Agreements where appropriate. Efficiently organise and prioritise all incoming communications, ensuring timely responses, appropriate routing to relevant stakeholders and timely completion of associated tasks with minimal supervision, resolving issues and challenges independently as appropriate.

5. Assist with the drafting of Memoranda of Agreement (MoA) and Data Sharing Agreements (DSA), setting out the details of the collaborative arrangements, including quality assurance, financial and administrative aspects. Coordinating with other areas as required such as the wider Student & Academic Services team, Legal & Contracts, External Relations, and College Professional Services colleagues.

6. Provide support as required in relation to the University’s Validation Partnerships, with a particular focus on arrangements with the Glasgow School of Art (GSA).

7. Provide minute-taking and administrative support to the Committee Clerk/Chair across various university committees, including validated institutions. Ensure timely production of agendas, papers, and minutes, and facilitate follow-up actions. Draft reports and coordinate meetings in collaboration with the wider team.

8. Contribute to the work and development of the wider APG team and Academic Services division, which may include support for Quality Enhancement & Assurance activity and/or key APG projects and initiatives.

9. Undertake other duties as assigned by the Academic Policy & Governance management team.

 

Knowledge, Qualifications, Skills and Experience

Knowledge/Qualifications

Essential: 

A1 Scottish Credit and Qualification Framework level 8 (Scottish Vocational Qualification level 4, Higher National Diploma) or equivalent, and experience of personal development in a similar role.

A2 Knowledge of the organisation and administration of HE in Scotland and the UK.

A3 Detailed knowledge of Microsoft packages and other standard IT packages.

 

Desirable:

B1 Qualification in a relevant subject, such as law or other relevant area.

B2 Knowledge of Data Protection and Freedom of Information legislation.

B3 Strong affinity with the academic environment.

B4 Knowledge of international relations and inter-cultural relations.

 

Skills

Essential:

C1 Efficient planning, and organisational skills and an ability to manage a range of activities to meet deadlines and prioritise appropriately.

C2 Well-developed interpersonal skills and ability to work effectively with a wide range of people, including staff at partner organisations and UofG staff and students at all levels.

Experience

Essential:

E1 Demonstrated relevant experience in a similar role within a comparable environment.

E2 Experience of working independently and proactively, to plan, prioritise and progressing work effectively to tight deadlines to achieve objectives.

E3 Experience of gathering and managing data for tracking and reporting purposes.

E4 Experience of working with and drafting complex documents that require a high degree of accuracy and attention to detail.

E5 Experience of supporting formal committees and producing high-quality documentation with accuracy and attention to detail (e.g., agendas, minutes, and papers).

E6 Demonstrable experience of developing and implementing administrative systems.

E7 Experience of responding and adapting to changing priorities.

 

Desirable:

F1 Experience of working in a Higher Education environment.

F2 Experience of process improvement.

F3 Experience of managing Databases.

F4 Experience of drafting legal agreements.

 

Terms and Conditions

Salary will be Grade 6, £33,482 - £37,174 per annum.
