Job Purpose
Project Sierra is aimed at delivering a best-in-class ERP platform to the University of Glasgow. The key requirements of project team members are to: -
- Work with colleagues in colleges or central services to understand best practice requirements, pain points, and reporting needs in relation to existing services and current systems.
- Review processes to ensure they are fit for purpose or refine processes to ensure they meet best practice as illustrated by system providers or implementation partners.
- Challenge existing ways of working to ensure new processes or procedures can be implemented as efficiently as possible.
- Enable the creation of a future state data model by reviewing existing data, potential needs and evaluating this in conjunction with stakeholders such as academics, finance staff, and professional services colleagues.
- Enable the transformation opportunity through engagement and championing new ways of working.
- Ensure seamless process integration within finance focusing process management, data integration, audit controls, and reporting.
Main Duties & Responsibilities
Work collaboratively with the Project Sierra workstream, associated stakeholder groups and mainly with the ERP Category Manager to:
1. Ensure appropriate procedures and documentation have been adopted and are available and accessible so that all transparency, audit and Freedom of Information obligations are met by the Procurement team.
2. Support the preparation of statistical returns which the Procurement Office is required to complete for Audit Purposes.
3. Prepare Tender/Mini competition paperwork at all stages of the process and creating new contracts with suppliers to ensure that all spend is compliant.
4. Collate and document all relevant information, including commercial, technical, and Legal, to support cataloguing activities.
5. Ensure compliance with Procurement Policies and Regulations and contribute to cost-saving initiatives.
6. Prepare reports and analyse spend to support understanding of costs and inform decision makings.
7. Identify products to be catalogued in Oracle for both Inventory and Non-Inventory needs.
8. Liaise with the Data Team to enable the Procurement Data Migration programme.
9. Support end users in the transformation from Agresso to ORACLE.
10. Filing all Contracts / Framework Agreements in accordance with the Procurement Office policy.
Knowledge, Qualifications, Skills, and Experience
Qualifications / Knowledge
Essential
A1 Ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills in a similar role. Or Scottish Credit and Qualification Framework level 7 (advanced Higher / Scottish Vocational Qualification level 3, Higher National Certificate) or equivalent, and experience of personal development in a similar role.
A2 Higher English.
Desirable
B1 Knowledge of University Procurement Policy and Public Contracts (Scotland) Regulations 2016.
B2 Financial systems knowledge.

E1 Relevant experience of administration in a complex procurement environment requiring speed, efficiency and accuracy.
Terms and Conditions
Salary will be Grade 5, £28,031 - £31,236 per annum.
This post is full time (35 hours p/w) and fixed term for up to 9 months from agreed start date.
Please Note: The University would consider a secondment opportunity for this post. Applicants should seek clearance for release for secondment from their line manager before making a formal application.
