Job Purpose

 

Responsible for the planning, co-ordination, liaison and administrative implementation of all Student Experience related activities in the Adam Smith Business School (ASBS) to ensure a high-quality provision is delivered.

 

Main Duties and Responsibilities

 

1.  Deliver high-level administrative support and activity to the ASBS Student Experience Team.

2.  Coordinate the extra-curricular Adam Smith Skills Award (ASSA) including organising and scheduling activities; promoting the award to students and staff; responding promptly to student enquiries; developing and maintaining registration, attendance and completion systems; and producing and analysing activity and student data for quality assurance and enhancement purposes.

3.  Facilitate and co-ordinate a range of student experience events including the ASBS student induction programme, ensuring all necessary pre-event arrangements are in place such as room and catering bookings and setting up and sharing event sign-ups.

4.  Provide clear and consistent student communications including creating and sourcing content for the Undergraduate and Postgraduate Student Information Points on SharePoint and Moodle as well as promoting student experience and international activities to students.

5.  Active management of all correspondence [email, mail, phone calls, social media]. Deal efficiently with multiple inboxes, prioritising emails and dealing independently with those which can be actioned/progressed.

6.  Provide administrative and enrolment support for incoming and outgoing student mobility opportunities as required.

7.  Contribute to a culture of continuous improvement by suggesting service improvements and implementing new processes to enhance quality of service.

8.  Engage in reasonable professional development activities as appropriate.

9.  Undertake and other reasonable duties as required by the team.

 

Knowledge, Qualifications, Skills and Experience

 

Knowledge & Qualifications

 

Essential:

A1 Ability to demonstrate the competencies required to undertake the duties associated with this post, having acquired the necessary knowledge and skills in a similar role.

A2 Scottish Credit and Qualification Framework Level 7 [Advanced Higher / Scottish Vocational Qualification Level 3, Higher National Certificate] or equivalent, and experience of personal development in a similar role.

 

Skills

 

Essential:

C1 Excellent verbal communication and interpersonal skills, adapting to students and colleagues at different levels and in a multicultural context on a 1:1 basis and in an event setting.

C2 Excellent communication and customer service skills, operating with diplomacy and discretion.

C3 Ability to plan, organise and prioritise effectively, respond to changes in demands and/or pressures, delivering work to standard and within deadlines.

C4 Ability to work both independently and flexibly as part of a high performing team with excellent stakeholder management skills.

 

Experience

 

Essential:

E1 Experience of planning and organising events.

E2 Experience of creating communications for a wide range of audiences.

E3 Excellent knowledge of Microsoft Packages (e.g., including Word, Excel, PowerPoint, Outlook, and OneDrive is essential).

 

Terms and Conditions

 

Salary will be Grade 5, £27,319 - £31,236 per annum.

 

This post is full time (35 hours per week) and fixed term for up to 12 months in the first instance.
