Job description

Job Purpose

The postholder will:

-         Utilise specialist skills and experience for the planning and delivery of a range of student recruitment events and contribute to a team portfolio that also includes alumni and development engagement and reputation events.

-         Plan and deliver a programme of events that enhance the University’s reputation nationally and internationally and strengthen our relationship with key stakeholder audiences and influencers.

-         Oversee communication and delivery plans for all events within remit, managing budgets and logistics, and liaising with colleagues to deliver an exceptional event experience for all attendees.

-         Responsible for a wide range of events on and off campus, including some events held overseas. These may be delivered as physical, virtual, or hybrid events.

-         Represent the University by engaging with stakeholders in relation to student recruitment events.

 

Main Duties and Responsibilities

1. Manage the operational delivery of events, including delivery of technical, venue and catering requirements, compliance with Health and Safety legislation, as well as gathering feedback and preparation of evaluation and operational de-briefs.

2. Provide specialist professional support, advice and knowledge in all aspects of events management, advising colleagues and encouraging best practice across all event formats in compliance with University wide policies and procedures and that reflect and support the University’s reputation and brand.

3. Devise and deliver new, bespoke events in support of strategic targets, working with External Relations, Marketing and Communications, Development and Alumni, Recruitment and International Relations teams and the Office of the Deputy Vice-Chancellor for External Engagement to ensure all events are in line with strategic objectives and deliver against clearly defined KPIs.

4. Responsible for maintaining up-to-date records on events using CRM systems & software. Ensuring GDPR legislation is followed at all times and ensuring these standards are rolled out across the team.

5. Provide accurate financial forecasts and engagement reports for events, monitoring expenditure, ROI and delivery of KPIs. Maintain financial record keeping and reporting systems, ensuring and represent value for money. Source sponsorship with external agencies and agree mutually beneficial contracts, as appropriate.

6. Support the continued development and roll out of an Event Management Toolkit for use across the University, promoting the toolkit as a guideline for best practice.

7. Support the development of University-wide events planning and diary management.

8. Work closely with colleagues to research, identify and develop operational plans for delivery on appropriate event platforms to ensure delivery of world class virtual or hybrid events.

9. Use specialist professional knowledge to develop and implement administrative systems and processes to ensure world class event delivery that best utilises the skillset of team and ensures all team members are trained to deliver across physical, virtual and hybrid formats.

10. Undertake other duties as agreed with the Head of Events.

 

Knowledge, Qualifications, Skills and Experience

Knowledge/Qualifications

Essential:

A1 Either: Ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills in a similar or number of different roles. Or: Scottish Credit and Qualification Framework level 9, (Ordinary Degree, Scottish Vocational Qualification level 4), or equivalent (including professional accreditation with relevant formal training), and experience of personal development in a similar or related role(s).

A2 Proven knowledge of event management best practice, including GDPR compliance, Health and Safety Legislation guidelines, and the quality outputs and standards required, including broader sector awareness.

A3 Knowledge of the use of digital marketing and branding practices for event purposes.

A4 Demonstrable industry knowledge & contacts.

A5 Working knowledge of CRM systems.

A6 Proven expertise in delivering events in-person and across digital event platforms, with the knowledge to make decisions on the best platform to deliver specific events.

 

Desirable:

B1 Knowledge of the University of Glasgow and the Higher Education sector.

B2 Membership of an appropriate professional body, either events or project management.

B3 Knowledge of event technical production and/or stage management.

 

Skills

Essential:

C1 Excellent communication and people skills.

C2 Credible and professional with excellent relationship management and influencing skills and the confidence to brief senior members of staff.

C3 Ability to work under pressure, delivering to strict deadlines and balancing multiple priorities.

C5 Proactive and creative with broad experience across a number of event formats.

C6 Proven ability to negotiate with external suppliers and outside agencies to achieve value for money and a positive outcome.

C7 Proven ability to manage, motivate and develop staff and work collegiately to deliver on strategic goals.

C8 Ability to manage and control assigned budgets.

C9 Experience of PR, reputation management and stakeholder engagement.

C10 Ability to plan and progress work activities applying initiative and independent judgement.

C11 A good working knowledge of event management software for registrations and virtual event platforms.

C12 Proven ability to work with new systems in the changing landscape to deliver world class events.

 

Experience

Essential:

E1 Significant wide-ranging event management experience.

E2 Experience of organising high profile events both in person and virtually for in excess of 1000 attendees.

E3 Experience of managing and controlling budgets and resources.

E4 Project management and risk assessment experience.

E5 Proven experience of delivering virtual and hybrid events.

E6 Experience of organising events for an international audience and of working with associated cultural differences and challenges.

E7 Experience of managing a team or direct reports.

 

Desirable:

F1 Experience of setting up and managing sponsorship arrangements or event partnership agreements.

F2 Experience of student recruitment events event delivery.

 

Terms and Conditions

Salary will be Grade 7, £41,064 - £46,049 per annum.

 

This post is full time (35 hours p/w) and open ended.  Relocation assistance will be provided where appropriate.
