Job Purpose

This is an exciting opportunity to play a key role in supporting the delivery of postgraduate taught (PGT) provision within the College of Medical, Veterinary and Life Sciences (MVLS). The post provides essential administrative support across a wide range of activities that underpin the student journey and programme delivery. From first enquiry to graduation, this role ensures a high-quality, student-focused service while working closely with academic and professional services colleagues—to ensure the smooth and effective operation of PGT provision.

 

Main Duties & Responsibilities

1.The post holder will be responsible for the day-to-day administration of designated PGT programmes, supporting students throughout their journey from application to graduation. As a proactive member of the wider PGT team, the post holder will contribute to a collaborative working environment by sharing responsibilities during peak periods, ensuring a consistently high level of service.

2.Manage the full assessment cycle for assigned PGT provision. This includes preparing and uploading exam papers, coordinating arrangements for individual adjustments, managing coursework submissions and academic conduct referrals, liaising with external examiners, supporting appeals and complaints processes, updating Moodle, coordinating exam marks, clerking exam boards and publishing results and awards on MyCampus.

3.Maintain accurate, accessible and up-to-date programme and course information for both campus-based and online/distance learning (ODL) delivery. This includes collaborating closely with academic colleagues to ensure that course and programme specifications, student handbooks and other student-facing materials are regularly reviewed, updated and aligned with University policies and academic standards.

4.Supporting annual cycle of course and programme approvals by assisting with the preparation and submission of proposals for new, amended, or withdrawn provision within required deadlines and in line with University policy.

5.Play an active role in supporting and enhancing the PGT Registration and Enrolment process across the College by streamlining procedures, reviewing and updating student records and running regular MyCampus reports to identify and address barriers to registration.

6.Support prospective students by responding to enquiries, attending information sessions and events (webinars/open days etc.) and providing accurate and up to date information for web pages and promotional materials.

7.Liaise with academic staff across the College to ensure effective arrangements are in place for the delivery of shared and optional courses, including robust timetabling and room bookings.

8.Provide comprehensive support to PGT students throughout their academic journey. This includes assistance with the administration of financial awards, pastoral support and proactive monitoring of academic progression.

9.Ensure the accuracy of student records by reviewing data regularly, working with central services to resolve any discrepancies, including academic and financial information.

10.Produce and analyse results from course evaluation questionnaires and provide data to support annual course monitoring and quality enhancement.

11.Work collaboratively with colleagues and University support teams to resolve student advising and administrative issues. Monitor and respond to queries via shared inboxes and Ivanti and prepare relevant management information to support programme delivery.

12.Provide administrative support to key committees, including clerking duties and managing documentation using University systems such as SharePoint, Moodle, and OneDrive.

13.Undertake other administrative tasks as required by the PGT Manager and/or Deputy Manager, contributing flexibly to the wider goals of the team.

 

Knowledge, Qualifications, Skills & Experience

 

Knowledge/Qualifications 

Essential 

A1 Scottish Credit and Qualification Framework level 7(Advanced Higher / SVQ level 3, HNC) or equivalent.

 

Desirable:  

B1 Understanding of University structures, policies and procedures [including but not limited to those governing learning, teaching and assessment, support for students with disabilities, data protection legislation]

 

Skills  

Essential: 

C1 Excellent organisational skills including an ability to prioritise work efficiently, multi-task whilst producing work of a high standard, a high degree of attention to detail, and ability to work to and within deadlines.

C2 Excellent interpersonal skills, including tact, diplomacy, assertiveness, ability  to build excellent relationships with customers and colleagues at all levels, and ability to work discreetly and sensitively, whilst maintaining confidentiality

C3 Advanced IT skills, with a high level of competence in using a variety of systems with the ability to interrogate and troubleshoot independently

C4 Excellent oral and written communication skills with the ability to produce public facing documentation, correspondence and content for online platforms to a high standard.

C5 Proven capability of working autonomously and proactively using own initiative to resolve problems, consulting with senior colleagues as appropriate

 

Desirable

D1 experience of clerking committees, producing accurate minutes of meetings and following up on action points

 

Experience  

Essential:  

E1 Significant and relevant administrative experience in a busy environment within a complex organisation

E2 Experience of using a wide range of IT systems, including MS Office suite

E3 Experience of excellent service delivery and building customer relationships

 

Desirable:  

F1 Experience of working with students in an HE or FE environment

F2 Experience of analysing data and producing pivot tables, graphs and charts in Excel

F3 Experience of University IT systems [PIP, MyCampus, CMIS, Moodle]

 

Terms and Conditions

Salary will be Grade 5, £27,319 - £31,236 per annum.

 

This post is full-time (35 hours per week), and open ended (permanent).
