Job Purpose

To work as a member of the Undergraduate Medical School team responsible for providing effective and proactive administrative support for teaching in two one-year access to Medicine programmes. These are the Gateway to Medical Studies programme which supports students embarking on medical or biomedical studies from a Widening Participation background, and the internationally-focused Pre-Medical/Dental programme. This post is outward-facing with an emphasis the student experience, and will provide high-quality support for teaching activity to c70 students per year. Teaching takes place within the main University campus, and the post holder’s primary base will be the Wolfson Medical School Building.

 

Main Duties and Responsibilities

1.To be the first point of contact for Gateway to Medical Studies and Pre-Medical/Dental students and related teaching staff from the point of entry to course completion.

2.To provide efficient and effective organisation of teaching activities on campus or online, including visits to clinical sites.

3.To be alert to the unique challenges faced by students on the School’s Foundation programmes, referring issues onwards as appropriate.

4.To develop and maintain close working relationships with the Undergraduate Medical School Administrative and Academic teams to ensure quality and consistency of the student experience.

5. To maintain accurate record keeping relating to the School’s Foundation programmes.

6. To provide organisational support to allocate and liaise with Advisers of Studies and clinical mentors.

7. To work with the academic Foundation Lead to co-ordinate annual course timetables, resolving timetabling issues, and administer room bookings.

8.To ensure that all Foundation programme students are Registered and Enrolled each academic session.

9.To work with the Foundation Lead to co-ordinate Induction Week events for new students.  10. To maintain and update the programme Moodle sites.

10. To maintain student attendance records, flagging issues as appropriate.

11. To provide organisational support for student meetings with the Foundation Lead.

12. Liaise with the MBChB Admissions Team to support student transition on completion of the foundation programmes.

13. To assist the School’s Admissions team in administration of the visiting electives programme.

14. To provide on-the-day administrative assistance at Undergraduate Medical School OSCE clinical assessments.

15. To provide other administrative duties as requested by the Undergraduate Medical School Manager and Deputy Managers.

 

Knowledge, Qualifications, Skills and Experience

 

Knowledge/Qualifications

Essential

A1 Either: Ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills in a similar role Or: Scottish Credit and Qualification Framework level 5 or 6 [National 5 or 6, Scottish Vocational Qualification level 2 or 3] or equivalent, and experience of personal development in a similar role.

 

Desirable

B1 Knowledge of core University core business systems including MyCampus and Moodle

B2 An understanding of the aims of Widening Participation activity in higher education

 

Skills

Essential

C1 Excellent IT skills covering the Microsoft Office suite (Access / Excel / Outlook / PowerPoint / Word) 

C2 Able to work proactively, multi-task and to use initiative

C3 Ability to plan and prioritise tasks over daily, weekly and longer-term timescales

C4 Excellent interpersonal and communication skills

C5 Ability to work accurately with attention to detail

C6 Ability to work as independently and as a member of the team

 

Desirable

D1 Proven ability to take accurate meeting notes

D2 Proven ability of working with bespoke IT systems

 

Experience

Essential: 

E1 Experience of working in a comparable administrative role

E2 Experience of handling confidential personal information with tact and diplomacy

E3 Experience of using bespoke IT systems

 

Desirable

F1 Experience of working within the Higher Education sector supporting learning and teaching activities

 

Terms and Conditions

Salary will be Grade 4, £24,685 - £26,707 per annum.
