Job Purpose
To provide wide-ranging project management and administrative support to the Diploma in Tropical Medicine & Hygiene course (DTMH) ensuring that key aspects of strategic activities and projects are delivered efficiently to strict deadlines and within budget. The post involves working effectively with staff from diverse backgrounds. This includes, clinicians, health care organisations, universities, finance, research support and governance teams, industry partners, and other external partner organisations
The post involves project managing several international projects including definition, initiation, planning, execution, and monitoring & control while adhering to university procedures and processes; as well as local and international regulatory, legal, and educational requirements.
Main Duties and Responsibilities
1. To liaise with course team, to plan and run all stages of DTMH course and international projects, taking responsibility for communicating best project management practice and ensuring effective communication between stakeholders.
2. To provide day to day administration and management of DTMH.
3. To establish and maintain effective communication with other departments within the University, and other external partners both domestic and international.
4. To interact and work collaboratively with a range of specialists including multiple university administrative functions, academics from different disciplines, medical doctors and NHS staff.
5. To mentor more junior members of the DTMH team supporting their career development.
6. Provide proactive support to manage DTMH students throughout registration and enrolment, updating student records as required and ensuring all students are fully registered, enrolled; provide advice and pastoral care to students.
7. Responsibility for DTMH budget planning and approval from research finance. Manage the day to day running and spending of the accounts.
8. To write reports to promote public awareness of the DTMH, including aims, impacts and scholarships through contributing to websites and blog posts and by coordinating educational and outreach activities.
9. If necessary, travel overseas to further cement and build upon established relationships with international partners.
10. To undertake relevant training and CPD as required.
11. Contribute to the enhancement of the University’s international profile in line with the University’s Strategic Plan - Inspiring People – Changing the World. http://www.gla.ac.uk/about/strategy/people/ Proactively seeking overseas student to join the DTMH and Parasitology related courses.
Duties of the post outlined are not exhaustive, and the post holder will be expected to undertake other duties as may be reasonably expected. The duties of the post will be subject to review in line with changing requirements, both internal and external.
Knowledge, Qualifications, Skills and Experience
Knowledge/Qualifications
Essential
A1 Scottish Credit and Qualification Framework level 9 (Ordinary Degree, Scottish Vocational Qualification level 4, nursing degree) or equivalent.
A2 Project management experience and knowledge of the project lifecycle and common work practices and approaches for project management.
A3 High level of literacy and proven ability to draft correspondence, reports, papers, briefing notes and presentations and service meetings.
Desirable
B1 Previous experience of managing CPD, or related courses.
B2 Evidence of administrative contributions compatible with those rquired for formal postgraduate and continuing professional development courses.
Skills
Essential
C1 Project Management skills acquired through experience or training, including demonstrable success in leading projects including obtaining regulatory and local management approvals.
C2 Ability to work effectively within a multidisciplinary team and communicate effectively with a wide variety of individuals and professional groups.
C3 Excellent team building, interpersonal, negotiating skills, including an ability to develop networks of useful contacts within and beyond the group.
C4 Experience of using Information Technology solutions to produce reports, prepare presentations, and efficiently communicate information.
C5 Excellent organisational and co-ordinating skills, including ability to cope under pressure while maintaining a high level of accuracy as well as attention to detail.
C6 Ability to work independently and under supervision, as appropriate, assessing priorities and managing workload effectively.
C7 Ability to organise and clerk project team meetings and follow up on actions arising.
C8 Ability to maintain confidentiality.

D1 Ability to produce written scientific and lay summaries or audience specific content for project.
Experience
Essential
E1 Experience of managing budgets and providing financial reporting advice to budget holder.
E2 Experience of coordination and management of project start-up, ongoing management and close out activities.

F1 Experience of making applications to grant awarding committees
F2 Experience of organising and clerking the business of committees and steering groups and taking lead in following up on actions arising.
Terms and Conditions
Salary will be Grade 7, £41,064 - £46,049 per annum, pro rata.
This post is part time (0.5 FTE, 17.5 hours per week) and open ended with funding available up until 31st July 2028.
