Job Purpose

The post holder contributes specialist technical knowledge to support the Software and Hardware Asset Management Services provided by the End User Servies Team (EUC).

This role will also be involved in supporting the day to day management of any third party services required by the Asset Management Team.

 

Main Duties and Responsibilities

1.           Support the Asset Management Team Leader and Asset Management Consultants with day-to-day support for the Hardware and Software Asset Management Service, including:

  • Assisting with software acquisition, compliance tracking, maintenance renewals, and lifecycle documentation.

  • Supporting efforts to identify opportunities for consolidation of software licensing and maintenance agreements.

  • Maintaining accurate records of software licences, renewals, and maintenance schedules.

  • Developing a working understanding of licence conditions for key vendors and assisting in communications with third-party providers for support and verification.

  • Supporting the monitoring of software compliance and contributing to risk mitigation activities under the guidance of senior staff.

The post holder will work as part of a cross-University team of IT and AV staff, providing operational support for Asset Management activities across Information Services and the Colleges.

 

2.         They will assist in liaising with third-party suppliers involved in the delivery of Asset Management services, contributing to the implementation and ongoing support of the University's Asset Management systems.

 

3.        The post holder will support the team in maintaining the University’s Cyber Essentials Plus accreditation by helping ensure licence compliance across relevant devices.

 

4.        They will assist in preparing for and responding to external software audits, working closely with the Asset Management Team Lead, Deputy Head – End User Computing, and other relevant teams.

 

5.        The post holder will contribute to the development and maintenance of Hardware Asset Management processes, supporting accurate inventory tracking and lifecycle management.

 

Knowledge, Qualifications, Skills and Experience

Knowledge/Qualifications 

Essential:

A1 Scottish Credit and Qualification Framework level 8 (Scottish Vocational Qualification level 4, Higher National Diploma,) or equivalent, and experience of personal development in a similar role with a good understanding of IT systems and asset management practices. Or the ability to demonstrate the competencies required to undertake the duties associated with this level of post, having acquired the necessary knowledge and skills through personal development and progression in a similar role(s).

A2 Working knowledge of IT systems, with a good understanding of Software and Hardware Asset Management principles and practices.

A3 Familiarity with Hardware and Software Asset Management tools and processes, with the ability to learn and apply technical knowledge under guidance.

A4 Familiarity with Software Asset Management tools (e.g. Snow or similar), with the ability to learn and apply usage under supervision.

A5 Basic understanding of IT Information Security principles and data protection regulations (e.g. EU General Data Protection Regulation and UK Data Protection Act 2018), with awareness of the importance of secure data handling and system integration.

A6 Working knowledge of Hardware Asset Management processes and inventory tracking.

 

Desirable:

B1 Familiarity with commonly used enterprise software platforms (e.g. Microsoft, Adobe), with a willingness to develop deeper understanding through training and experience.

B2 Working towards or interest in obtaining an industry-recognised Software Asset Management certification.

 

Skills

Essential:

C1 Ability to apply logical thinking and problem-solving skills to support decision-making and assist in identifying practical solutions under guidance.

C2 Awareness of the risks and impacts associated with changes to IT systems and services, with the ability to escalate concerns and contribute to recommendations.

C3 Basic understanding of structured change management processes and willingness to follow established procedures.

C4 Clear and effective verbal and written communication skills, with the ability to interact professionally with colleagues and stakeholders.

C5 Ability to organise and prioritise tasks to meet deadlines, with support, in a busy environment. Awareness of the importance of maintaining service continuity in a teaching and learning context, and sensitivity to the impact of IT changes on academic delivery.

 

Desirable:

D1 Interest in keeping up to date with industry developments and best practices in Software Asset Management, with a proactive attitude toward learning and professional growth.

 

Experience Essential:

E1 Experience supporting Hardware and Software Asset Management activities, including inventory tracking, data entry, and assisting with audits or compliance checks.

E2 Experience working with colleagues across different teams or departments, with the ability to communicate effectively and contribute to shared goals.

E3 Experience assisting customers or end users by providing information and support on available IT assets or services, with guidance from senior staff.

E4 Experience of working within a large or complex organisation, with an understanding of operational procedures and service delivery.

 

Desirable:

F1 Experience of working in a Higher Education or similarly complex organisational environment, with an understanding of its operational context and service expectations.

F2 Exposure to software licensing principles and contracts, with the ability to interpret basic licensing information and a willingness to develop skills in producing and understanding licensing statements.

 

Terms and Conditions

Salary will be Grade 6, £33,951 - £37,694 per annum.

 

This post is full time (35 hours p/w) and open ended.
