Job Purpose

 

To provide high level administrative support in the delivery of key activities across the School of Psychology & Neuroscience (SPN), with responsibilities for the provision of an accurate, efficient, operational high level financial and administrative support service for the School of Psychology & Neuroscience. To commit fully to a culture of continuous improvement to enhance student and staff experiences.

 

Main Duties and Responsibilities

 

1. Provide a stakeholder-focussed and professionally robust administrative service. Act as a team member within the Operational and Planning support (OPS) team and provide high level and financial and administrative support to staff and students within the School.

 

2. To be a point of contact for financial operational enquiries, answering queries, escalating if required and providing advice to staff, students, and visitors on University financial policies and procedures, ensuring service excellence.

 

3. Assist with the financial management and monitoring on a range of School budgets, support the collation of financial data around budgetary spend, running transaction reports, assisting with facility access charges, licenses and maintaining trackers.

 

4. To support the Research User Groups with budget, forecasts and business planning reports for research facilities and costing models data.

 

5. Day-to-day administrative oversight of operational and financial processes including manipulation of School data providing reports to inform management and academic decision-making, investigating and correcting anomalies independently to ensure accurate budgetary information is available.

 

6. Assist with ongoing continuous improvement, reviewing current financial school processes identify inefficiencies across financial functions and partner with key stakeholders to streamline processes. Contribute to continuing the current School sustainability model, saving costs, reducing costs and implementing agreed cost-effective measures and reviews.

 

7. Assist with people-related activities which will include recruitment and selection, affiliate appointments, and progressing manager requests.  Extract and manipulate data from the Core HR system to assist in the preparation of reports, workforce planning and external reporting.

 

8. Assist the communications group with the development and maintenance of the School’s communication platform financial content sections, including on SharePoint and website to ensure streamlined, consistent, and professional communications across all channels.

 

9. Support the key work of the Deputy HOPS and HOPS by providing a range of administrative support as required, exercising judgment in relation to activities, including setting up meetings in response to requests from external contacts and internal colleagues.

 

10. Undertake any other reasonable duties that the Deputy HOPS and HOPS may request.

 

Knowledge, Qualifications, Experience and Skills

 

Knowledge / Qualifications

Essential:

A1 Scottish Credit and Qualification Framework Level 7 [Advanced Higher / Scottish Vocational Qualification Level 3, Higher National Certificate] or equivalent, and experience of personal development in a similar role.

A2 Ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills in a similar role.

A3 Excellent IT skills including a working knowledge of Microsoft Office including Word, Excel, PowerPoint, Outlook and Teams.

A4 Detailed knowledge and understanding of maintaining databases.

A5 Knowledge of financial processes and systems.

 

Desirable:

B1 Understanding of Higher Education, the University Structure, Operations, Policies and Procedures.

B2 Knowledge and experience working with a finance system such as Agresso or similar.

B3. Knowledge of University management systems, e.g. Agresso, MyCampus, Ivanti.

 

Skills

Essential:

C1 Excellent written communication skills with proven ability to apply this to reviewing and drafting reports and correspondence.

C2 Exceptional oral communication, negotiation and diplomatic skills.

C3 Excellent IT skills.

C4 Ability to plan, organise and prioritise effectively, respond to changes in demands and/or pressures, delivering work to a high standard and within deadlines.

C5 Ability to use own initiative and judgement and be pro-active in planning ahead.

C6 Ability to work under minimal supervision as well as working as part of an extended team.

C10 Proven analytical and problem-solving skills.

C11 Excellent attention to detail (e.g. accuracy and precision in data entry).

 

Experience

Essential:

E1 Recent relevant experience providing a range of administrative support services working in a complex environment.

E2 Experience of working with financial information sufficient to analyse financial data and transactions, monitor budgets and report financial details.

E3 Experience of handling confidential Finance and HR related information.

E4 Experience of creating and editing digital content.

E5 Experience of processing, analysing, preparing and presenting management data and papers for Senior management.

E6 Proven experience of using initiative to solve problems and deal with unexpected changes in workload.

 

Desirable:

F1 Experience of working in a Higher Education setting.

F2 Experience of applying University policies and practices

 

Terms and Conditions

Salary will be Grade 5, £28,031 - £31,236 per annum.
