Job Purpose

Within the functional area of Academic Standards & Quality in the Academic Policy & Governance (APG) division of Academic Services, this role provides professional support in academic quality management and enhancement activity across the University’s Academic Quality Framework (AQF), maintenance of University-wide academic policy and Academic Appeals ensuring this work is supported by effective and fit for purpose systems and processes.

 

Main Duties and Responsibilities

Reporting to the Senior Academic Quality Manager:

1. Provide comprehensive operational, development, coordination and analytical support to managers implementing processes within the University's Academic Quality Framework (AQF) and the Academic Appeals process. This includes coordinating activities across Colleges and Schools, generating and analysing data, managing documentation, involvement in and coordination of stakeholder meetings, and ensuring alignment with sector standards through detailed process mapping and compliance tracking.

2. Support the delivery of designated activities within the Academic Standards & Quality team. Key responsibilities include supporting the activities of the Student Feedback and Representation, Student-Facing Service Review, Annual Quality & Enhancement Review processes, student facing policy development, External Examining procedures and Periodic Subject Review. This involves preparing briefing materials, maintaining databases, organising training sessions, managing stakeholder communications, ensuring successful outcomes and pro-actively resolving issues encountered in partnership with academic and professional services colleagues across the University.

3. Support the business of a range of APG Committees including contributing to papers, providing minute-taking and administrative support to the Committee Clerk/Convenors across various University committees. Ensure timely production of agendas, papers, and minutes, and facilitate follow-up actions.

4. Assist managers in providing specialist guidance to Colleges/Schools/Student & Academic Services by preparing background research, coordinating consultation processes, and maintaining quality assurance documentation. Support the development and adoption of policies by assisting with drafting policy, managing version control, stakeholder feedback processes, and implementation timelines.

5. Support managers in implementing the University's Learning & Teaching Strategy by supporting business of the Learning & Teaching Committee, coordinating cross-functional activities, managing project timelines, preparing progress reports, and facilitating communication in collaboration with the wider team.

6. Provide high level administrative, coordination and analytical support to the Standards, Quality and Policy & Governance functional areas, including maintaining databases, preparing reports, undertaking research data analysis to shape and inform the evidence base for internal and external quality reporting and submissions, coordinating team activities, and contributing to planning processes.

7. Support managers' external engagement by coordinating attendance at national body meetings and conferences, preparing briefing materials, managing follow-up actions, and maintaining knowledge databases of sector developments and best practices.

8. Develop and publish engaging, user-focused web and digital communications and support the development and maintenance of the APG website, including associated support for the annual publication of the University regulations and policies.

9. Undertake other duties as assigned by the Academic Policy & Governance management team.

 

Knowledge, Qualifications, Skills and Experience 

Knowledge/Qualifications

Essential:

A1 Scottish Credit and Qualification Framework level 8 (Scottish Vocational Qualification level 4, Higher National Diploma) or equivalent, and experience of personal development in a similar role.

A2 Knowledge of the organisation and administration of HE in Scotland and the UK.

A3 Detailed knowledge of Microsoft packages and other standard IT packages.

 

Desirable:

B1 Knowledge of Data Protection and Freedom of Information legislation.

B2 Knowledge of the structure and systems within the University of Glasgow.

B3 Knowledge of University’s AQF.

 

Skills

Essential:

C1 Efficient planning, and organisational skills and an ability to manage a range of activities to meet deadlines and prioritise appropriately.

C2 Well-developed interpersonal skills and ability to work effectively with a wide range of people, including staff at partner organisations and UofG staff and students at all levels.

C3 Strong analytical and problem-solving skills with excellent attention to detail.

Experience

Essential:

E1 Demonstrated relevant experience in a similar role within a comparable environment.

E2 Experience of working independently and proactively, to plan, prioritise and progressing work effectively to tight deadlines to achieve objectives.

E3 Experience of gathering and managing data for tracking and reporting purposes.

E4 Experience of working with and drafting complex documents that require a high degree of accuracy and attention to detail.

E5 Experience of supporting committees and producing high-quality documentation with accuracy and attention to detail (e.g., agendas, minutes, and papers).

E6 Demonstrable experience of developing and implementing administrative systems.

E7 Experience of responding and adapting to changing priorities.

 

Desirable:

F1 Experience of working in a Higher Education environment.

F2 Experience of process improvement.

F3 Experience of managing Databases.

 

Terms and Conditions

Salary will be Grade 6, £33,951 - £37,694 per annum.

 

This post is full time and open ended.
